Salary Range: $14.57 - $21.84 ($30,305 – $45,427 annual)

Job Summary: This position work with tenants to respond to incoming work order requests, manage work order system queue and to prioritize and dispatch urgent work orders to correct field personnel and/or appropriate vendor; answers phones; greets incoming visitors; schedules conference room; provides limited purchasing and administrative support to Facility Maintenance staff. The position exists to ensure facility maintenance issues are communicated escalated appropriately to ensure timely first response resolution and to serve as a point of contact for communication with our tenants to keep them informed and help to maintain some positive working relationships and to provide smooth administrative workflow.
Essential Duties and Responsibilities:
Work Order Request System -CMMS (City works) - Create and assign work orders to appropriate trade; dispatch urgent work orders requests to Facility Maintenance staff and/or vendors depending on scope of work; understand and have ability to speak to workflow of CMMS (City works) request system. Follow up with customers regarding service requests.
Administrative Support – Support Administrative Assistants by providing professional customer service and assisting with resolution on any service issues, maintain purchasing records file system, ordering office supplies; distribute incoming/outgoing mail; process work permits; answering phones, greeting visitors, scheduling conference rooms.
Purchasing Support - Secure required documentation, verify account coding for purchasing and service contract requests; accurately enter, modify, and receive requests in purchasing software.
Other duties as assigned.
Minimum Qualifications:
Current resident of Wisconsin
High School Diploma/ GED and above.
At least One (1) year or more experience as a receptionist or office support required and high-level administrative skills, communication and correspondence, MS Office,
2-way radio, telephone preferred.
