No extension anticipated Role Overview Administrative coverage travel arrangements, scheduling, calendar, meeting management, PO submissions, etc. Candidate resumes should reflect 3-5 years exp. KEY ACCOUNTABILITIES
- Scheduling monthly / weekly internal department meetings, and capturing key meeting notes, follow ups for all departments supported
- Tracking Dept. expenses and updating budget tracker
- Submit POs and manage the purchase to pay process
- Manage subscriptions & payment fee to Trade Associations (CRN, APHA, etc.)
- Maintaining collective organization charts and team rosters for central platform
- Travel arrangements for Audit, off sites, business critical meetings, etc.
- Submit expense reports on behalf executives
- Support team on ordering needs
- Large internal and external meeting coordination (e.g. NACDS, Expo West, Offsites)
- Deliverable tracking (e.g. OKR tracker, trainings, PMP deliverables)
- Department timeline management (updating primary calendar and following up key stakeholders)
- Team deck management (eg tracking slides from multiple teams and ensuring formatting is consistent)
- Capturing key meeting notes, distributing follow-ups and holding people accountable
- Internal product mailing coordination (e.g. board meetings, gift bags for events or partners)
- Ad-hoc assistance as needed
