Job Title : Business Services Manager / Director
Reports To : Chief Executive Officer (CEO)
Position Summary : The Business Services Manager provides operational management and oversight for Finance, Administration, IT, and Fleet & Facilities, ensuring efficient and effective administration of existing programs and the seamless implementation of new programs. This role serves as the Administration Manager for all programs across the organization, working closely with department heads, program managers, and project specialists to drive operational efficiency and support program growth. Additionally, this role acts as the hub for all administration requests made by programs and departments to administration, ensuring timely and effective responses.
Key Responsibilities :
Program Administration :
- Oversee and coordinate the administrative operations for all organizational programs.
- Collaborate with program managers and project specialists to ensure alignment of administrative processes with program objectives.
- Develop and implement administrative policies and procedures to streamline operations and improve productivity.
- Develop and monitor operational workflows to ensure cross-departmental alignment and efficiency.
- Lead the development and implementation of administrative systems for new programs, ensuring scalability and compliance with organizational policies.
- Serve as the primary point of contact for all administration requests from programs and executive leadership, ensuring they are addressed promptly and effectively by the business services.
- Provide operational oversight of Finance, Administration, IT, and Fleet & Facilities teams to ensure day-to-day efficiency.
Administration Services :
Manage office facilities and equipment, ensuring a safe and conducive work environment for staff.Coordinate administrative support services, including mail handling, reception, and office supplies procurement.Ensure administrative workflows for additions & modifications are carried out with property purchases or acquisitions.Identify opportunities for process improvements and implement best practices to optimize administrative workflows.Accounting / Purchasing Management :
Oversee financial activities and manage teams collaboration with our bookkeeping vendor. Consult on budgeting and provide support on financial reporting for grant funders, public agencies and board / executive requests, in accordance with GAAP and regulatory requirements.Manage accounts payable and receivable processes, ensuring timely and accurate processing of invoices and payments.Monitor organizational spending and identify cost-saving opportunities without compromising quality or service.Develop and maintain relationships with vendors and suppliers, negotiating contracts and agreements to secure favorable terms.Information Technology (IT) Management :
Serve as liaison to MACCs IT vendor contract, ensuring the delivery of all relevant IT services in accordance with contractual agreements.Provide strategic direction for IT initiatives and projects, aligning technology solutions with organizational goals and objectives.Ensure the security and integrity of organizational data, implementing measures to prevent unauthorized access and data breaches.Ensure that IT vendor provides technical support to staff, troubleshooting IT issues, and facilitating training on software and systems as needed.Fleet & Facilities Oversight :
Provide operational management of fleet and facilities, ensuring resources are maintained and utilized efficiently.Oversee policies and procedures related to fleet usage and facility maintenance.Collaboration and Communication :
Act as a liaison between program staff and operational departments to address administrative needs and resolve challenges.Facilitate communication across departments to promote organizational cohesion and operational effectiveness.Serve as the hub for administration requests, ensuring all inquiries and needs are routed and addressed appropriately.Strategic Initiatives :
Support organizational growth by contributing to strategic planning efforts for program expansion and operational improvement.Identify and implement best practices in administration to enhance organizational performance.Qualifications :
Bachelors degree in business administration, Finance, or a related field; equivalent experience may be considered.Strong background in business administration with some finance / accounting experience.Proven experience in managing operations and staff across multiple functional areas.Excellent organizational and project management skills.Ability to work collaboratively with diverse teams and stakeholders.Strong analytical and problem-solving abilities.Proficient in the use of technology and software for administration and operations.Working Conditions : This position requires occasional travel to program sites and organizational locations within the service area. Regular office hours are expected, with some flexibility to accommodate program needs.
