Common Responsibilities:

  • Answering Phone Calls and Emails:
  • Answer inquiries about counseling services.
  • Provide information about available group sessions, schedules, and counselors.
  • Offer basic guidance on how to proceed with appointments or referrals.
  • Appointment Scheduling:
  • Schedule individual and group counseling appointments.
  • Maintain accurate records of appointment times and client information.
  • Follow up with clients to confirm or reschedule appointments as necessary.
  • Client Intake and Confidentiality:
  • Collect personal, medical, and spiritual background information from clients (as needed) for counseling purposes.
  • Ensure privacy and confidentiality in line with legal and ethical standards, particularly related to counseling.
  • Handling Payments and Insurance:
  • Assist clients with billing and insurance questions.
  • Process payments and work with the financial department if applicable.
  • Maintaining a Welcoming Atmosphere:
  • Create a calm, welcoming environment for clients, ensuring it aligns with Christian principles of compassion, kindness, and support.
  • Offer encouragement and resources, if appropriate.
  • Organizing Group Counseling Sessions:
  • Coordinate group therapy sessions, ensuring the availability of the counselor and that all participants are informed of session times and locations.
  • Handle any administrative needs specific to the group dynamic (e.g., registration forms, attendance logs).
  • Communication with Counselors:
  • Serve as a liaison between clients and counselors, making sure that the needs of both are communicated effectively.
  • Relay important messages from clients to the counselors and vice versa.
  • Promoting the Counseling Service:
  • Assist with organizing events, workshops, or prayer groups related to counseling or emotional well-being.

Skills Needed:

  • Strong Communication Skills: Both verbal and written communication are key to interacting with clients and counseling staff.
  • Organizational Skills: Ability to manage appointments, records, and follow-up tasks in an efficient and detailed manner.
