Title: Administrator for Roster and Call Process

Reports to: John Hulden, Assistant to the Bishop for Leadership

Position Details: Full-time; standard office hours with the flexibility to accommodate occasional planned evening meetings; primarily in-office presence, with the ability to work remotely once a week on Monday or Friday; occasional travel may be required for synod events, meetings, and staff outings.

Salary Range: $50,500 to $69,000

The Minneapolis Area Synod (MAS) is one of 65 synods of the Evangelical Lutheran Church in America (ELCA). MAS includes 137 communities of faith in the greater Minneapolis metropolitan area. The synod staff supports the member congregations, as well as the lay and rostered leaders of the synod. Position Summary

The Administrator for Roster and Call Process is a key team member of the Minneapolis Area Synod staff. A crucial part of our synod’s ministry is to work with congregations during rostered leadership transitions as well as supporting rostered leaders (pastors and deacons). The Administrator for Roster and Call Process holds this detailed information and assists other staff members with related matters.

Essential Functions

  • Administrative Support for Clergy Transitions. Provide administrative details and information to assistants to the bishop to support their work with congregational leaders. Attend weekly call process meetings. Assist with the Interim pastors’ monthly meetings and email lists. Maintain records, prepare paperwork, handle background checks, and update databases.
  • Call Process for Specialized Ministry: Most of the synod’s pastors and deacons serve in congregations, but some serve in specialized ministries such as hospitals, care centers, and social ministry settings. The Administrator for Roster and Call Process will work with the Assistants to the Bishop to ensure that clergy and specialized ministry sites meet criteria for a synodically authorized call. Tasks include preparing documents for calls by the synod council, collecting and maintaining necessary records and documents from the pastor or deacon, and coordinating with the ELCA churchwide office.
  • MAS Database and ELCA Mobility Database: Serve as the MAS Call Process Administrator for the ELCA Community system. Serve as a resource for those filling out and submitting Ministry Site Profiles and Rostered Minister Profiles and ensure efficient processing of forms. Manage access to the ELCA Community system and maintain MAS database. Serve as database administrator and trainer.
  • Administrative Management of Roster Matters: Manage status changes for rostered ministers, including pastors and deacons on leave from call, removals or resignations, retirement, transfers, and deceased clergy. Maintain files for rostered ministers in the synod.
  • Events Support: Collaborate with Assistants to the Bishop on annual First Call Theological Education events and organize annual boundaries workshops with the support of the MAS events coordinator.
  • Communication: Provide roster updates to synod staff and synod council. Administer process for annual reports submitted by rostered leaders. Track and compile reports of transitions, anniversaries, retirements, new rostered ministers, etc.
  • Participate fully as a member of the Minneapolis Area Synod staff: Attend weekly staff meetings and participate in synod-wide events (Bishops Theological Conference, Synod Assembly, Ministerium, etc.). Attend synod council meetings (meetings occur five times a year) as requested or desired.

Qualifications:

Education: Bachelor's degree preferred but not required

Experience: Familiarity with the Evangelical Lutheran Church in America (ELCA) is essential. Two to three years of computer database management, word processing, and spreadsheets experience is essential. Familiarity with ACS Realm Office is desirable.
