Administrative Assistant
Full-time (37.5 hours weekly), non-exempt, union
Hourly rate: $27.55 – $28.09
Onsite; not eligible for relocation
The Job
Provides administrative, office and project support to Registration department staff and Head of Registration, as well as provides support for the museum’s visitors and staff.
In this role, you will…
1. Update and maintain department records and information; includes collections data clean up in TMS, rectifying object records and data entry of collection information from historic documents, as well as uploading digital images and entering asset information into NetX: develop and maintain the department’s intranet page, assist with editing, updating and organizing the department’s documents on MiaNet; care for the department’s historic documents, including rehousing, relabeling and scanning document to improve access.
2. Coordinates purchases, rentals and repairs related to equipment, services and materials needed for the department; create purchase orders, place and track orders and final invoices, as well as set up new vendors using Airbase. Process monthly credit card statements, includes coding, gathering and submitting receipts; create and maintain vendors/suppliers list.
3. Assist Registration staff track exhibition and rotations responsibilities using Asana, prompt staff regarding project due dates and support their needs.
4. Assists the Head of Registration with scheduling, project research, information gathering, project implementation and information sharing.
5. Acts as administrative assistance and initial point of contact for the Registration department; relays messages; greets and assists visitors and staff; organizes department meetings, reserves meeting spaces, and distributes meeting agendas and minutes; monitors Registration’s general email address, researches and responds to requests for information related to the department and collection in collaboration with the registrars; maintains the department’s general files and Slack channels used for daily communication.
6. Maintains Registration office equipment and proper inventory of office supplies and forms; services equipment and orders supplies, as needed; helps maintain clean and well-organized Registration spaces.
7. Performs other related duties and responsibilities as required or assigned; examples include coordinate staff training: OSHA, scissor lifts and Right To Know; maintain department’s drivers list
To be successful in this role, you have…
· Excellent organizational skills, attention to detail and ability to handle several ongoing projects
· Good written and verbal communication skills
· Good time management skills
· Ability to work independently or as part of a team
Requirements:
· College course work required; BA and/or art administration experience, or equivalent
· Previous museum registration or related gallery experience, preferably one year or more
· Minimum of 2 years administrative experience
· Accurate keyboarding
· Proficient in Microsoft Word, Excel and data entry
· Experience with a collections management system, Gallery Systems preferred
