BASIC FUNCTIONS/PURPOSE
The individual in this position is an employee of the Minnesota Association of Townships performing insurance-related services to a third-party insurance trust. Under the supervision and direction of the Contract Services Administrator, the Administrative Assistant will provide administrative support for claims, underwriting, policy renewal, and general administration services for the insurance trust.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties and responsibilities are normal for the position. These are not to be construed as exclusive or all-inclusive. Other Clerical and Administrative duties may be required and assigned.
- Process renewals and policy changes for the Trust’s Comprehensive Liability (CLC) and Worker’s Compensation (WC) programs.
- Assist with special projects as needed.
- Enter contacts with members into the insurance trust’s electronic membership software.
- Support underwriting and renewal activities.
- Enter changes in members’ exposure basis as needed to calculate CLC contributions.
- Answer member questions regarding renewal and contributions for CLC and WC.
- Assist members with annual workers' compensation reporting. Enter members’ WC payroll information if needed.
- Support claims administration activities. Enter invoices into claim files as needed.
- Send correspondence to members, vendors and others as directed.
- Scan incoming mail and post to the appropriate claim file.
- Scan and post documents to the appropriate claim file.
- Assist in assembling information if needed for file reviews or audits of claims information (reinsurers, independent financial audit, independent claims audit)
- Offer suggestions to improve workflow and efficiencies in the claims system workflow.
- Assist with Medicare Set Aside/Second Payer activities if needed.
- Perform administrative and clerical services for MAT as needed.
MINIMUM TRAINING, EXPERIENCE AND QUALIFICATIONS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
Required: Associate’s degree; Trade or Technical School or two years office experience; insurance experience preferred. Proficient in Microsoft Office programs, strong typing skills, and adaptability to learn insurance software programs. Demonstrated communication skills, verbal and written, and organizational skills, including time management and the ability to prioritize tasks.
Desired: Property and Casualty Insurance experience.
