Position Summary

The Director of Annual Giving and Development Operations helps lead a successful and collaborative development team to meet or exceed the annual fundraising goals through multi-channel fundraising strategies, inclusive of direct mail, online giving, tele-funding, development events and managing Guthrie Circle memberships. In addition, this role oversees gift entry and acknowledgment, administration of donor membership benefits, database management, and assists with annual department budgeting. The Director of Annual Giving and Development Operations leads with a data-driven mindset and analytical frame of reference, with comfort in utilizing data and reporting resources to offer strategic recommendations and drive decision-making.

This position also works cross-departmentally on enterprise solutions related to the donor / patron journey, community events, and asset creation. It also interfaces with a dedicated, thoughtful Guthrie Board of Directors, volunteers and Guthrie staff, and is visible within the Twin Cities’ social and arts communities. Primary Duties and Responsibilities

1. Annual Fund Program Fundraising Leadership

  • In collaboration with the Director of Development, lead, support and participate in the strategy development, planning and implementation of all annual fund tactics and activities.
  • Provide leadership and strategic direction to the Annual Fund Manager in the creation of multi-channel solicitations, including direct mail, email, tele-funding, digital media fundraising, audience appeals, and annual fund promotional materials.
  • Provide leadership and strategic direction to the Development Events Manager in the creation and execution of signature Guthrie Theater fundraising and stewardship events, including the annual gala, opening night celebrations, community engagement events, donor trips and Illuminate Campaign events.
  • Lead and develop interdepartmental interaction and planning for Guthrie-wide initiatives in collaboration with leaders from across the organization including Community Engagement, Education, Production, Artistic and Marketing.
  • Provide annual fund progress reports and analytics to key stakeholders, including the Director of Development and Managing Director.

2. The Guthrie Circle Membership

  • Lead the development of personally tailored stewardship and recognition opportunities for Guthrie Circle (TGC) Members and Producers.
  • Coordinate member benefits and ensure the benefits keep pace with member expectations and internal budget guidelines.
  • In collaboration with Philanthropy Officer(s), develop a mid-level giving program to grow the number of donors at each TGC Producer Level by 10% annually.
  • 3. Development Operations and Budget Administration

  • In collaboration with the Director of Development, lead the creation of the annual department budget.
  • Provide leadership and strategic direction to the Development Operations Manager, including developing specialized knowledge to the donor database (Tessitura) and providing process oversight to gift administration and gift acknowledgment.
  • Collaborate with Director of Finance on gift reconciliation and gift processing procedures to ensure a timely and efficient gift entry and reconciliation process.
  • As requested by the Director of Development, pull appropriate lists and reports from Tessitura to analyze and interpret data to help guide departmental strategy and direction.
  • Utilize Tessitura to segment, track progress, and increase the number of annual fund prospects.
  • Drive collaboration between Annual Fund Manager and Prospect Development Specialist in the creation of annual fund portfolios for Philanthropy Officer(s).
  • 4. Administration and Team Supervision

  • Manage and support the Annual Giving and Development Operations team to promote a safe, healthy, and productive working environment.
  • Actively participate in team building, fostering a work environment of artistic excellence, community, diversity, equity, inclusion and accessibility, and fiscal responsibility.
  • Attend and / or run department meetings to pass pertinent information along to employees.
  • Train and develop staff members by monitoring the quality of employees’ work; providing constructive feedback; facilitating conflict resolution among employees; ensuring adherence to legal and organizational policies and procedures; and undertaking disciplinary actions if the need arises.
  • Maintain timesheets, Paid Time Off requests, and other personnel records.
  • Supervise and schedule Kitchak Lounge Hosts, with the support of the Stewardship Events Coordinator.
  • Essential Knowledge and Qualifications

  • Demonstration of annual fund development success with at least 5-7 years of increasing experience. Knowledge of multi-channel fundraising desired.
  • Demonstrated leadership experience.
  • Background or interest in performing arts, especially theater, preferred.
  • Excellent written and verbal communication skills and interpersonal skills.
  • Exceptional organizational, analytical, and critical thinking skills.
  • Experience collaborating and working independently to set priorities and manage multiple projects, within and outside the department.
  • Strong project management skills with the ability to multi-task and prioritize.
  • Experience in Tessitura (preferred) or another Customer Relationship Management software required.
  • Knowledge of various solicitation processes, including face-to-face, proposal writing, direct mail, email, telefunding, audience appeals, etc.
  • Knowledge of and ability to read, build and understand budgets. Excellent financial analysis skills.
  • Strong interpersonal and relationship development skills.
  • Demonstration of discretion with sensitive donor information, using good judgment and maintaining confidentiality, ensuring theater patrons’ privacy.
  • Flexibility and willingness to work evenings and weekends as required.
  • Experience, ability and commitment to working with individuals and teams that are mixed across lines of difference such as race, gender-identity, sexual orientation, religion, ability, age, class and immigrant status.
