This position provides administrative support to the Director and office of the Employment and Training Programs (ETP) division. The incumbent is responsible for the administrative and support functions needed to fulfill the divisional responsibilities, which involve scheduling meetings, taking and transcribing meeting minutes, scheduling events, communication, technology, fiscal, budgets, policy and procedures, and other assignments as determined by the Director.

Responsibilities include, but are not limited to:

  • Coordinating and managing the calendar of the Director, including making travel arrangements
  • Managing flow of reports, documents, communication, records, and transactions moving through the Director’s workflow
  • Providing administrative, technical, and operational support to ETP
  • Assisting in the preparation and transmittal of critical information, including budgets, information for reports, presentations, legislature testimony, and other organizational issues
  • Providing and facilitating communication support for ETP’s communications (e.g., newsletters, reports, policies, website content)

This position is telework eligible and is occasionally required to be on-site at the office. Staff are provided with the tools and equipment to be successful in a virtual work environment and may telework from anywhere in Minnesota or a neighboring state. Please note, the telework policy could change with notice based on business needs.

Minimum Qualifications

  • Knowledge of communications sufficient to communicate effectively with internal and external customers
  • Skill in using business grammar, spelling, and punctuation to write, develop and edit reports, letters, procedures, presentations, and other documents
  • Skill in database management sufficient to enter and retrieve data
  • Skill in database management sufficient to develop and maintain databases and calendars for staff
  • Skill in typing/keyboarding, using Microsoft Word or equivalent software, sufficient to produce documents such as emails and other correspondence in an efficient and timely manner
  • Skill in developing and implementing administrative and program policies, procedures, and service standards in cooperation with management
  • Ability to communicate in a variety of formats to gather and relay information with tact and diplomacy

Preferred Qualifications

  • Experience performing advanced level administrative support functions
  • Knowledge of the Minnesota State Contracting system, Minnesota Procurement policies and procedures, Sharepoint, Statewide Integrated Financial Tools (SWIFT), and Procure-it
  • Ability to work independently and use sound judgment, without close supervision
