The Position
We are seeking a Sales Operations Coordinator to join the Minot Hot Tots and Minot Honeybees team. This position will focus on supporting sales efforts by coordinating meetings, assisting in communication with local businesses, civic groups, and sponsors, and ensuring accurate reporting and tracking of sales activities. Your role will ensure the sales team has the necessary resources and documentation to engage prospects effectively.
Roles and Responsibilities
- Coordinate outreach to local businesses, civic groups, and sponsors via phone calls and emails to set meetings and generate new leads.
- Schedule and organize meetings for corporate tickets, corporate outings, civic outings, and sponsorship opportunities.
- Recap meetings (sponsorship, ticket, and civic) by documenting discussions, follow-up actions, and preparing relevant materials for the sales team.
- Provide administrative support for sponsorship agreements, corporate tickets, and group sales by assisting in writing contracts and maintaining documentation.
- Report and track revenues, ensuring accurate records are kept in the CRM system.
- Maintain up-to-date records of meetings, leads, and prospects, ensuring seamless communication across the sales team.
- Assist the sales team with preparing presentations and other materials for meetings with potential sponsors and partners.
- Provide general support to the sales department as needed, ensuring the team stays organized and efficient.
General Team Responsibilities
- Availability for Minot Hot Tots and Minot Honeybees home games and team events, including weekends and holidays.
- Help with event setup and take-down during home games and events.
- Ensure that all materials and documents for sales meetings and activities are organized and prepared.
- Additional duties as assigned by the sales or leadership teams.
Knowledge, Skills, and Abilities
- Previous sales administration or customer service experience is preferred but not required.
- Strong written and verbal communication skills.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Proficiency in Microsoft Office, especially Excel, and CRM systems for tracking leads and sales activities.
- Ability to manage administrative tasks, including writing contracts and tracking revenue.
- A self-starter with a positive, team-first attitude.
- Ability to work long hours (up to 14-hour shifts) during game days and events.
- Capable of lifting 30-50 lbs as needed.

In this role, success will be measured by:
- Meeting weekly expectations for calls, meetings set, and emails sent to prospects.
- Timely and accurate documentation of meetings, contracts, and revenue tracking.
- Contribution to achieving sales targets for corporate tickets, corporate outings, civic group engagement, and sponsorships.
