What This Job Is About?
The Executive Assistant (EA) provides high-level administrative and operational support to the Co-CEOs, enabling them to focus on strategic initiatives. The EA will manage executive schedules, coordinate travel, oversee meeting logistics, and facilitate communication between leadership and key stakeholders. The role requires exceptional organizational skills, discretion, and the ability to anticipate the needs of executives in a fast-paced environment.
While supporting both Co-CEOs, the EA will primarily support the Washington, DC-based Co-CEO while assisting the San Francisco-based Co-CEO as needed. The EA will also act as a liaison to the Board of Directors, ensuring seamless coordination of board meetings and materials.
What Are Your Key Responsibilities?
Executive Support & Calendar Management:
- Oversee complex executive scheduling, ensuring alignment with business priorities.
- Manage domestic and international travel logistics, including flights, accommodations, and meeting arrangements.
- Prepare meeting agendas, presentations, and materials for executive engagements.
- Maintain expense reporting for the Co-CEOs, ensuring accuracy and timely submission.
- Ensure seamless meeting logistics, including venue coordination and technology setup.
- Work closely with other executive assistants to align schedules, manage cross-functional meetings, and enhance communication across leadership teams.
Board Liaison & Stakeholder Communication:
- Act as the primary liaison to the Board of Directors, managing meeting logistics, compiling materials, and facilitating timely communication.
- Draft and oversee executive correspondence, including internal communications, memos, and board reports.
- Facilitate communication between leadership, board members, and internal teams.
- Oversee the preparation and distribution of board materials, ensuring accuracy and timeliness.
Operational & Administrative Support:
- Track and follow up on key initiatives, ensuring alignment with business objectives.
- Maintain executive records, databases, and filing systems for efficient information access.
- Identify and implement process improvements to enhance executive workflow and efficiency.
- Support office logistics and technology coordination for executive operations.
- Ensure seamless coordination of virtual meetings, video conferences, and in-person engagements.
- Collaborate with other executive assistants across the organization to facilitate information sharing and maintain alignment across leadership teams.
What Makes You A Great Fit?
- At least 10 years of experience supporting C-suite executives in a corporate or professional services setting.
- Proven ability to manage executive calendars, coordinate meetings, and prioritize tasks effectively.
- Experience handling confidential information with discretion and professionalism.
- Strong proficiency in Microsoft Office, Google Suite, and virtual collaboration tools.
- Excellent written and verbal communication skills, with experience drafting executive correspondence.
- Strong organizational and time management skills, with the ability to multitask in a fast-paced environment.
- Experience with travel coordination, expense reporting, and board liaison responsibilities.
Ideal Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- Experience working in professional services, legal, or investigative industries.
- Knowledge of CRM systems and executive reporting tools.
