We are seeking a highly organized and detail-oriented Office Administrator/Front Desk to oversee daily office operations, administrative support, and cross-department coordination onsite. This contract role will ensure the smooth functioning of office activities, assist with financial and asset management, and act as a liaison between teams and leadership. The ideal candidate is proactive, resourceful, and thrives in a fast-paced environment.
What You’ll Do:
Office Administration & Operations:
- Manage office supplies inventory, placing orders as needed to ensure operational efficiency
- Assist with facility management, including receiving, verifying, and distributing packages
- Maintain both electronic and physical filing systems for easy access and organization
- Provide general administrative support to other departments as needed
- Answer and direct phone calls professionally, ensuring they reach the appropriate individuals
- Handle incoming and outgoing mail, packages, and deliveries
- Schedule appointments and manage calendars for key personnel
- Assist in the preparation of reports, data entry, copying, scanning, and other administrative tasks
- Handle vendor communications, support finance-related tasks, and ensure vendor-related documentation is up to date
- Oversee the tracking, organization, and maintenance of company assets
- Maintain accurate asset logs in Infoplus and Asset Tiger systems
- Ensure proper inventory management and asset documentation for accountability and compliance
- Act as a liaison between the Executive Team and other departments to ensure seamless communication and project coordination
- Facilitate the flow of information between internal teams and senior leadership
- Assist in the prioritization of tasks and ensure alignment with company objectives
- Assist in the planning and execution of company events, meetings, and team-building activities
- Coordinate logistics for internal and external events, including scheduling, catering, and venue arrangements
- Proven experience in office administration, accounting assistance, or a similar role
- Strong organizational and time-management skills with the ability to multitask
- Excellent verbal and written communication skills
- Proficiency in Google Suite, Infoplus, and Asset Tiger
- Ability to work independently and collaboratively in a fast-paced environment
- High attention to detail and a proactive problem-solving approach
- Experience in vendor management and asset tracking is a plus
- $20 per hour, 40 hours per week
