MIRACLE LEAF® ST. PETERSBURG is seeking a dedicated and detail-oriented Medical Office Assistant to join our Medical Marijuana Treatment Center (MMTC) holistic healthcare team. The ideal candidate will play a crucial role in ensuring the smooth operation of our MMTC office, providing exceptional customer service, and assisting with various administrative tasks. This position requires proficiency in MMTC systems and terminology, as well as a commitment to delivering high-quality patient care.
Responsibilities
- Greets patients and visitors with a warm and professional demeanor at the front desk.
- Manages patient check-in and check-out processes efficiently.
- Schedules appointments and maintains an organized calendar for healthcare providers.
- Utilizes an electronic health record (EHR) system for data entry and patient management.
- Maintains accurate patient records for diagnoses.
- Handles phone calls, emails, and other communications in a timely manner.
- Assists with payment processing and ensures proper record keeping.
- Collaborates with healthcare professionals to ensure seamless patient flow and care coordination.
- Upholds confidentiality and compliance with HIPAA regulations at all times.
- Uses acquired skills and knowledge to recommend products and devices to meet patients’ current and future needs.
- Applies the appropriate knowledge and expertise through ongoing learning and self-development.
- Utilizes available tools to stay current on skills and promotional initiatives.
- Maintains merchandising and ensures the MMTC office is clean and presented professionally.
- Ensures that personal customer service levels are consistently excellent.
- Seeks to become familiar with and proficient at all other tasks and duties as assigned.
- Works in cooperation with their supervisor, physicians and staff.
Qualifications
- Previous experience in a MMTC office or healthcare setting is preferred.
- Excellent time management skills.
- Well developed team-oriented interpersonal skills.
- Analytical mindset and problem-solving skills.
- Available to work a flexible schedule within the MMTC hours which are Monday through Saturday 10am to 6pm (some weekends and holidays, as needed)
- Strong customer service skills.
- A strong proficiency in written and verbal communication in the English language is required to effectively fulfill the role's responsibilities.
- Proficiency in using office software and EHR systems (e.g., VerifyMC and Healy).
- Excellent organizational skills and attention to detail are essential.
- Ability to multitask in a fast-paced environment while maintaining professionalism.
- High school diploma or equivalent; additional certifications in medical office administration are advantageous.
Additional Requirements
- Per Florida Statutes, all employees of a medical marijuana treatment center must be 21 years of age or older and have passed a background screening.
- Must currently be and remain compliant with any and all legal or company regulations for working in the industry.
