Job Summary
The National Science Foundations (NSF) Directorate for Computer and Information Science and Engineering (CISE) is seeking a Program Support Specialist to provide analytical, technical, and administrative support for its programs. This role will assist CISE program officers in managing research projects, coordinating program activities, and supporting community outreach efforts. The ideal candidate will have a strong background in science, engineering, or mathematics, along with experience in project management and communications.
Key Responsibilities
- Program Planning and Coordination
- Assist in the preparation, staffing, and clearance of program solicitations and management plans.
- Develop communication materials and presentation slides for public presentations by Program Officers.
- Coordinate and plan logistics for workshops, interagency meetings, and community outreach activities.
- Maintain program calendars, milestones, and shared document libraries.
Review Management
- Support the merit review process by maintaining and distributing process documents, templates, and timelines.
- Assist in organizing and scheduling review panels, including recruiting panelists and curating reviewer data.
- Provide initial vetting of panel and individual reviews, draft public project abstracts, and identify problematic comments for Program Officer action.
- Capture and provide meeting minutes for panel meetings, workshops, and site visits.
Program and Award Management
- Assist Program Officers in non-decisional aspects of program management, including coordinating working group activities and interagency agreements.
- Monitor project web pages and reports for accomplishments and outcomes to highlight for outreach purposes.
- Perform data analytics, such as analyzing geographic, gender, and ethnic diversity of panelists and Principal Investigators.
- Support the development of cooperative agreement terms and conditions and assist with fund transfers for new and existing awards.
Post-Award Oversight
- Review quarterly and annual project reports, highlighting issues for further consideration by Program Officers.
- Monitor financial expenditures of projects for compliance and alignment with project plans.
- Coordinate oversight site visits and reverse site visits, including scheduling and communication with awardee teams.
Reporting and Communication
- Participate in weekly review meetings to provide updates on activities, deliverables, and ongoing tasks.
- Prepare monthly reports summarizing completed deliverables and upcoming tasks.
Required Skills and Experience
- Masters degree in science, engineering, or mathematics (preference for computer or information science/engineering fields). Equivalent experience and/or certifications may be considered.
- Experience managing research projects and teams, with familiarity in program and project management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, OneNote), Outlook, and collaboration tools such as Microsoft Teams, SharePoint, and Slack.
- Strong written and verbal communication skills.
- Ability to automate and innovate processes using online collaboration tools.
Preferred Qualifications
- Experience with data analytics and reporting.
- Familiarity with NSF programs, processes, and systems.
- Proven ability to manage complex projects and budgets.
