What are the responsibilities and job description for the Administrative Assistant - Class I (Center Programs) position at MISD Educational Service Center?
QUALIFICATIONS:
- Knowledge of MISD interdepartmental office procedures with a minimum of five years administrative support experience.
- Graduation from high school, including or supplemented by courses in word processing and business practices.
- Above average knowledge of language skills, particularly in areas of spelling, punctuation and English usage.
- Excellent computer skills. Demonstrated proficiency of microcomputer applications, including: MS Word, Excel, PowerPoint, Access, Internet Explorer, FrontPage and Outlook.
- Skills to effectively assist in the planning and coordination of the office work flow in cooperation with the Director.
- Highly skilled in understanding and using the AS400 systems, including purchase orders, attendance, etc.
- Must be proficient in basic administrative support skills; office equipment, printers, scheduling county-wide meetings.
- Ability to work tactfully, cooperatively and effectively with large and divergent groups of people.
- Ability to set up and maintain an effective filing system.
- Ability to work independently on department projects.
- Familiarity with Macomb County Center Programs preferred.
- Ability to problem solve and work collaboratively with staff.
- Ability to maintain confidentiality.
- Must possess a mature attitude along with other personal qualities of integrity, pride, confidentiality and enthusiasm.
- Must pass criminal background check as required by School Safety Legislation.
RESPONSIBILITIES SHALL INCLUDE BUT NOT BE LIMITED TO:
- Handle dictation, typing needs and compose routine letters for the Director and others as directed.
- Provide information; answer inquiries and support relating to LEA’s and Center Programs.
- Support LEA’s and Center Programs buildings with PowerSchool.
- Act as receptionist and work independently in meeting the public; respond to parent and staff concerns or be able to direct callers to appropriate resource.
- Assist in planning, scheduling, and materials for workshops and events.
- Provide information and answer inquiries relating to routine questions of school operations.
- Schedule appointments for supervisor and other professional staff.
- Maintain student and other school records and files on the computer.
- Form rough draft or instructions: type forms, accounting and financial statements, letters, receipts, attendance reports, requisitions and other materials.
- Prepare, maintain and process as appropriate all purchase orders, miscellaneous requests, etc. originating in and handled by the department.
- Operate standard office machines and appliances incidental to clerical and typing assignments.
- Provide support to the pupil accounting process/functions as needed.
- Perform other duties as appropriate and determined by supervisor and/or administrator.
STARTING DATE: As soon as possible
WORK YEAR: This is a 12-month/year round position.
