Basic Function and Scope of Responsibilities:
The Physician Scheduler provides medical office support to patients and the clinical teams. Schedules return appointments including follow-up visits, treatments, labs or tests, referrals and scans. Monitor and distribute inbound and outbound documentation whether electronic or paper format to clinical teams as needed.
Principle Responsibilities:
- Schedules, reschedules, and coordinates all patient follow-up appointments, tests, labs, treatment, scans, and referrals.
- Coordinates and communicates with partner offices to serve and care for mutual patients.
- Answer calls in a courteous, professional, and efficient manner. Keeping in mind that they are representing Mission Cancer Blood part of University of Iowa Health Care as an organization and as an extension of the individual physician team(s).
- Sends messages and tasks to appropriate parties in the EMR.
- Accurately and efficiently enters data and annotates information in patient charts.
- Ensures all patient information and prior authorization is obtained before scheduling visits.
- Greets patients, co-workers, and other parties professional and kindly.
- Manages clinic schedules so both provider and patient preferences are maintained.
- Manages individual work queue and completes tasks on time so patient care isn’t impacted.
- Demonstrates excellent customer service, responds promptly to patient, physician, management, and clinic requests/needs.
- Other duties as assigned.

Education Requirements
- High School Graduate or equivalent with GED
- Previous Medical Office experience preferred.
Performance Requirements
Knowledge:
- Knowledge of medical terminology
- Knowledge of computer systems
- Knowledge of electronic medical records
- Knowledge of HIPAA
- Knowledge of medical practice policies and procedures
Skills and Abilities:
- Excellent customer service skills.
- Strong organizational skills and attention to detail.
- Strong multitasking abilities.
- Prior scheduling experience preferred.
- Good verbal and written communication skills.
- Electronic Medical Records experience preferred.
- Strong computer skills including Windows file management and MS Office, and email experience.
- Ability to work productively and effectively in a fast-paced environment.
Working Conditions:
Physical surroundings: Medical office
Adverse working environment: Work may be stressful due to continual interaction with others, long hours required and nature of the medical specialty.
Physical Effort: Must possess the physical and mental abilities to perform the tasks normally associated with this role including walking, bending, standing, reaching, and sitting. Lifting up to 15 pounds of office or technology equipment.
Local Travel: Within the state of Iowa
Domestic/International Travel: None
Extensive Hours: Varies due to need
