The Patient Access Float provides total medical office support including check-in, check-out, calls, and medical records functions. Manage the reception of patients within the office and by telephone. Obtains patient insurance and demographic information, collects co-pays, schedules new and return appointments including treatments or tests, pre-certify any test or admission as required by insurance, monitor and distribute inbound and outbound documentation whether electronic or paper format.

Principal Responsibilities:

  • Schedules, reschedules, and coordinates all patient follow-up appointments, tests, labs, treatment, scans, and referrals.
  • Coordinates and communicates with partner offices to serve and care for mutual patients.
  • Answer calls in a courteous, professional, and efficient manner. Keeping in mind that they are representing Mission as an organization and as an extension of the individual physician team(s).
  • Sends messages and tasks to appropriate parties in the EMR ensuring they are collecting, verifying, and sending all relevant information.
  • Prioritizes each call based on the urgency and importance of the situation. Understands when something requires immediate attention and can successfully triages calls within their scope.
  • Able to transfer, page, merge, and place calls on hold as needed.
  • Able to balance call duration with the number of calls in queue.
  • Accurately and efficiently enters data and annotates information in patient charts.
  • Ensures all patient information and prior authorization is obtained before scheduling visits.
  • Greets patients, co-workers, and other parties professional and kindly.
  • Manages clinic schedules so both provider and patient preferences are maintained.
  • Manages individual work queue and completes tasks on time so patient care isn’t impacted.
  • Assists co-workers and other physicians’ patients as needed.
  • Assist patients with the check-in process and answer any questions they may have.
  • Accurately and efficiently update patient demographic information in systems.
  • Collect copayments at time of service, manage cash drawers, and receipts.
  • Collect, update, activate, deactivate, and scan insurance cards into practice management and EMR system.
  • Obtain patient photos and update the charts with these images.
  • Manage, organize, and keep the reception spaces clean.
  • Organize, sort, and deliver faxes.
  • Collect scanning documents and forms from provider pods and/or other areas in the clinic.
  • Organize, order, and put away supplies in partnership with facilities manager.
  • Communicate schedules, wait-times, and other information to patients.
  • Accurately scan, upload, and label documents in patient charts.
  • Professionally communicates with internal and external stakeholders.
  • Demonstrates excellent customer service, responds promptly to patient, physician, management, and clinic requests/needs.
  • Other duties as assigned.

Education Requirements:

  • High School Diploma or GED equivalent required

Work Experience:

  • At least one year previous medical office experience is required

Knowledge:

  • Knowledge of health care insurance
  • Knowledge of HIPAA
  • Electronic Medical Records
  • Medical Terminology
  • Clinic Office Processes and Procedures.

Physical Surroundings: Medical Office

Adverse Working Environment: Work may be stressful at times due to continual interaction with others and the nature of the medical specialty.

Physical Effort: Must possess the physical and mental abilities to perform the tasks normally associated with the role including walking, bending, standing, reaching, and sitting. Lifting up to 40 pounds of technology equipment.

Local Travel: Occasional, within city limits only

Domestic/International Travel: None

Extensive Hours: Varies due to need
