Responsibilities
- Serve as the first point of contact for visitors and clients at the front desk, providing excellent customer service.
- Manage daily office operations, including scheduling appointments, coordinating meetings, and maintaining office supplies.
- Assist with medical office management tasks, ensuring compliance with health regulations and maintaining patient confidentiality.
- Support budgeting processes by tracking expenses and assisting in financial reporting.
- Oversee team management activities, including onboarding new staff and facilitating training sessions.
- Maintain organized records and files, both physical and digital, to ensure easy access to information.
- Operate phone systems effectively to manage incoming calls and direct them appropriately.
- Perform clerical duties such as data entry, document preparation, and correspondence management.
- Assist with payroll processing by collecting timesheets and ensuring accuracy in employee records.
Requirements
- Proven experience in front desk operations or office management is preferred.
- Strong administrative skills with a focus on organizational efficiency.
- Experience in medical office management is a plus but not required.
- Familiarity with budgeting processes and financial tracking is desirable.
- Excellent team management abilities to foster a collaborative work environment.
- Proficient in using phone systems and other office equipment.
- Strong attention to detail with the ability to multitask effectively under pressure.
- Excellent communication skills, both verbal and written.
