POSITION SUMMARY :
Coordinates all clerical activities in the district offices including the crediting of member-consumer payments in conformance with approved accounting practices and procedures, receiving of new applications and the establishment of member / customer records.
II. REPORTING RELATIONSHIPS :
A. Reports To : District Supervisor, Member Service Supervisor or Senior Member Service Representative[]{#_Hlk43215251}B. Receives work direction from the Administration & Finance Manager and Billing Supervisor
III. MAJOR RESPONSIBILITIES :
A. Receives and credits member / consumer payments, including scanning checks and submitting electronic check deposits. Balances daily collections and prepares bank deposit. Takes deposit to the bank and goes to the Post Office as needed.B. Prepares a variety of reports which require the investigation, verification, classification, recording and / or reconciling of data.C. Provides a variety of clerical and administrative support activities including maintaining of files, delinquent collections list, bank draft and preparation forms and correspondence.D. Receives applications for membership and electric service from member-consumers. Verifies information and credit record. Follows up with applications to ensure all signatures are returned to the company. Sets up new accounts.E. Processes service orders and establishes a record for each account and maintains files for outdoor light contracts in the district offices.F. Assists staking technician in the district offices with regard to new service orders, which includes using the staking software.G. Makes every effort to serve all members / customers courteously and efficiently either by phone, electronically or in person; to respond to their inquiries, satisfy their complaints and, if unable to do so, refers them to the proper persons.H. Collects proxies for the annual meeting.I. IV. EXTERNAL RELATIONSHIPS :
A. Members : Communicates with members concerning accounts and to explain the services offered, rates, policies, procedures and benefits to which a Dixie Electric member is entitled.B. General Public : Maintains good relations in all contacts with the general public.
Job Knowledge, Training and Experience : High school diploma / GED or equivalent is required; an associate's degree is preferred. Two years of office experience or customer service experience is required. Previous work experience in customer service, banking or with an electric utility is preferred. Fluent in Spanish is preferred as well. Experience as a billing specialist is preferred..
Equipment Operated :
Position requires the use of a personal computer and requires skills in Microsoft Word and Excel. Position utilizes calculators and other standard office equipment in the completion of duties. Must have a valid Mississippi driver's license.
Abilities and Skills :
Must be able to carry out a variety of activities which requires a high degree of accuracy and attention to detail. Position requires on-going contact with members / customers under various circumstances which requires tact and diplomacy. Positio is required to perform a variety of mathematical calculations in the completion of duties. Knowledge of English grammar is required so as to be able to communicate policies and other information to applicants / members. Knowledge of the Association's Service Rules and Regulations and system geography must be acquired.
Physical Effort :
Must be able to perform the activities as listed in the position description. Activities are performed at a counter, drive-in window, computer and desk. Sitting, walking and standing are normally used in carrying out the assigned duties. A majority of the activities are performed while sitting at a desk and standing at the counter; however, this position occasionally is required to stand or climb a ladder to access file cabinets or stored records, which may require lifting up to 25 pounds.
