Job Title: Administrative Aide

Wage: $17.36 /hr. for six months probation
$18.36/ hr after completion of probation
Location : Missoula, MT
Status: Regular/Full-Time (40 hours a week)
6 month probationary period is required for all MCS positions

Special Information: Missoula Correctional Services, Inc. is a non-profit corporation formed to provide alternative correctional programs in the Missoula community. This position requires a current State of Montana driver’s license.
This position is considered essential, and you will be considered an essential employee. As such, you will be required to report to work or continue to work during the COVID-19 pandemic and any shelter in place directives issued by the Governor or the Missoula City-County Health Department.
The work schedule will be:
Monday thru Friday 9:00 am to 5:00 pm with Saturdays and Sundays off.
Meal breaks are optional and will be explained during the interview process.

Agency Description: The mission of Missoula Correctional Services, Inc. is to provide residential and non-residential community-based correctional programs that enhance public safety by providing guidance, treatment, and supervision in order to promote accountability and responsibility of individuals who have become involved in the criminal justice system.
Typical Duties: (The following are intended to illustrate typical duties. They are not meant to be all inclusive nor restrictive):
The Administrative Aide answers incoming calls in a professional and timely manner; performs primary screening of callers, answers routine inquiries and questions, obtains and relays pertinent information; screens all incoming visitors obtaining all needed information and refers them to the appropriate party; arranges appointments and interviews for the Alternatives Programs staff; routes incoming mail to the appropriate parties; is responsible for outgoing correspondence; collects client fees, receipts and records these transactions, prepares deposits; keeps an accurate inventory of current office supplies and purchases supplies as approved by the Administrative Assistant; performs data entry necessary for the maintenance of data base systems associated with the Alternatives Program; is responsible for running computer reports on the Alternative Program’s operations, worker compensation reports, statistical reports; types letters and other reports; programs the computer with new software as received and approved; establishes appropriate files and maintains these files. The Administrative Aide demonstrates the ability to work professionally by maintaining good hygiene; being punctual in attendance and working shifts as scheduled; attending staff meetings; completing duties in the time lines specified; being assertive with co-workers, supervisor and community contacts; making decisions based on objective information considering the needs to both the community and the clients; following directions given by supervisor; following corporation and agency policies and procedures.
Qualifications: Prefer knowledge of office practices and general bookkeeping procedures. Must possess sound communication skills and good writing skills; must have the skill to operate a computer system, utilizing Windows and Microsoft Office programs, and Excel; must have the skill of typing 30 words per minutes; must possess good organization skill. Must have the ability to work successfully with individuals; exercise good judgment in evaluating situations and making decisions; must possess the ability to handle conflict situations in a calm manner; must possess the ability to handle pressure and stress associated with dealing with offenders, deadlines, and a large work load; possess the ability to understand and interpret oral and written instructions; possess knowledge of filing procedures, business English, and spelling. Must have the ability to operate a motor vehicle.
Education and Experience: High School Diploma and three years experience in performing office duties including bookkeeping and use of a computer/word process system with Windows and Microsoft Word programs. Experience in the Criminal Justice system preferred though not required. An applicant that does not meet the experience required may be considered for a training position with a lesser salary.
Application and Selection Process: Selection procedures to be used in evaluating applicants’ qualifications may include, but are not limited to, an evaluation of the Application form; reference checks; a typing test to be taken at your local Job Service; a structured interview; a written questionnaire; a criminal record check; and a performance test. The successful candidate must pass a thorough background investigation. The applicant must also be found to be insurable via a check with the Montana Motor Vehicle’s Records Department. Upon offer of employment, the candidate will be required to take and pass a physical examination which demonstrates that the applicant is capable of performing the physical required duties of this position. The applicant will be required to take a TB test, as well as signing a Non-Dissemination and Non-Solicitation Agreement.
The successful candidate will be required to obtain a First Aid/CPR card within the first six months of
employment.

Compensation: This full-time position’s wage is $36,109 annually. Benefits include ten (10) working days of annual leave, sick leave, and ten (10) days of holiday leave per year, paid employee medical insurance, and a retirement plan.
Immigration Reform and Control Act: In accordance with the Immigration Reform and Control Act, if an employee is unable to provide the required document or documents within three days, he or she must at least produce (within three days) a receipt showing that he or she has applied for the document. The employee must produce the document itself within 21 days of the hire. Examples of such documentation include a birth certificate or Social Security card along with a driver’s license or other picture I.D., a U.S. passport of a green card.
