Plans offerings, recruits and schedules instructors, edits and proofs descriptions, oversees the payment of instructors, and maintains statistics of the classes. Manages class data, evaluation, and promotion of adult education classes. Oversees communication and correspondence to students and instructors.
Essential Duties and Responsibilities:
- Recruit instructors, plan classes, and schedule class offerings on a variety of appropriate topics, including Food & Cooking, Gardening, Fine Arts, Green Living, Nature Study, Photography, Guided Tours, Wellbeing, and Botanical Crafts.
- Write, edit, and proofread adult education class descriptions for web and print catalog and assist in the editing of public program print catalog quarterly.
- Purchase class materials, supervise classes, and maintain class statistics and metrics.
- Promotes a department culture of teamwork and mutual support; maintains an open line of communication with the Public Programs Team, and other Garden divisions and departments.
- Supervises Adult Education Assistant; Assists with creating assistants work schedule; meets weekly in one-on-one meetings and daily check-ins as needed. Manages the yearly employee performance management process by setting goals, maintaining performance records, providing written evaluations, establishing performance development plans, conducting on-going performance feedback, and addressing individual development needs.
- Effectively manages the Adult Education budget, including ongoing tracking of revenue and expenses.
- Build Adult Education classes in Momentus and Tessitura software systems.
- Schedule volunteer opportunities in Cervis.
- Schedule and coordinate online classes on Zoom.
- Collaborates with Public Programs team, Shaw Nature Reserve, Sustainability and Butterfly House adult education teams in planning annual schedules.
- Collaborates with other botanical gardens as appropriate to discuss current trends, protocols, and ideas.
- Collaborate with the Communications teams to maintain the Adult Education webpage.
- Reviews and approves payment for instructor and oversees the accuracy of payment
- Collects and reviews instructional content, methods, and class trend data to assess strengths and weaknesses, and to develop recommendations for course revision, development, or elimination.
- Must be prepared to work evenings and weekends; . highest volume of class offerings occur during the months are March through May and September and October and will require working an average of two nights a week and one Saturday a month during this time.
- Create surveys for classes Meets expected attendance guidelines.
- Follows and adheres to established policies and procedures, including but not limited to Employee Handbook, Garden Safety Guidelines and Department Policies.

- Minimum (3) years’ teaching experience (either formal or informal educational programming) required.
- Minimum (3) years’ experience in program delivery, educational program administration and evaluation required.
- Minimum (3) years’ supervisory experience; demonstrated abilities in staff support, coaching and development, and conflict resolution required.
- Knowledge and experience in Tessitura, Momentus, Cervis, and Zoom software preferred.
- Experience working in a cultural institution preferred.
- Scheduling flexibility to work weekends, holidays, and evenings as needed is required.
- Solid demonstrated abilities in project management, priority-setting, analytical and objective decision-making, cost conscious budget administration, and managing through institutional systems.
- Demonstrated ability to work collaboratively with internal team members and external organizations for the purposes of creating a commitment to common goals, prioritizing, minimizing obstacles, and executing realistic priorities in a sophisticated environment.
- Demonstrated ability to create various reports and write business correspondence and procedure manuals.
- Ability to work independently with little instruction; coordinate and prioritize multiple tasks, set deadlines, and complete projects in a timely manner.
- Exceptional ability to communicate effectively at all levels; must enjoy and feel comfortable interacting and working in close proximity to general public, in a safe and friendly manner, answering questions

- Bachelor’s degree in education, natural science, horticulture, ecology or a related area required.
- Or equivalent combination of education and experience including three years of supervisory experience and/or experience working with volunteers.

- Proficient College Math Aptitude - Ability to perform addition, subtraction, multiplication. and division; calculate percentages and decimals, etc.
- Ability to understand, analyze and create budgets.
- Ability to exercise independent judgment in the observation, analysis and resolution of issues.
- Ability to exercise independent judgment in the allocation of resources.
- Proficiency in navigating through the Internet, and various PC applications including but not limited to Microsoft Office Suite 2003 (i.e., PowerPoint, Excel, Word, and Outlook) or a similar application.
- Ability to use Registration and scheduling software.
- Experience in database management.
- Ability to supervise and direct others to input of data.
- Analysis and trouble shoot problems in software.
- Interact with IT personnel to update and solve problems in database.
- Experience with Zoom online class hosting, moderating participant chat for questions and troubleshooting online functions.
- Must be able to obtain and maintain First Aid/CPR certification.
- Ability to effectively utilize computer and keyboard (typing).
- Ability to lift up to (30) pounds (i.e., load, unload and move boxes, supplies and equipment).
- May be required to perform tasks at varying heights (i.e., step stools, etc.)
- Requires ability to make frequent telephone calls
- Flexibility to work weekends, holidays, and evenings as needed.
- Ability to work outside in the elements on occasion with unavoidable variations in temperatures over 100°F as well as temperatures below 0°F, in rain, snow and other inclement weather conditions and some uncomfortable conditions (i.e., wet, mosquitoes, ticks, chiggers, etc.) as needed.
