At this time, we are looking for a talented and eager professional to join us as an Office Assistant. Someone who can bring energy, ambition to grow and learn, and has a strong ability to work independently and as part of a team. Responsibility

Office Assistant who can manage the general day to day environment, while also assisting upper management in a variety of duties. The Office Assistant must be an individual who is efficient and comfortable working as a member of a team. Multi-tasking, maintaining multiple schedules, while supporting the administrative team and staff are essential in this position. Our ideal candidate is loyal, kind, empathetic, and an organized problem solver. This person must be able to complete the workload in a timely manner with confidentiality.

Process

  • Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Make copies of correspondence or other printed material. Provide support to customers, such as gathering/collecting forms, assist with providing supplies, copying services, etc.
  • Use computers for various applications, such as database management or word processing.
  • Create, maintain, and enter information into databases. e.g., employee phone list.
  • Conduct searches to find needed information, using such sources as the Internet.
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Maintain scheduling and event calendars.
  • Complete forms in accordance with company procedures.
  • Operate electronic mail systems and coordinate the flow of information, internally or with other organizations.
  • Learn to operate new office technologies as they are developed and implemented.
  • Assist with projects or contribute to committee or teamwork.
  • Operate office equipment, such as fax machines, copiers, or phone systems and report to OM when equipment malfunctions or need repairs.
  • Keep track of office supplies needed and report to OM.
  • Distribute incoming mail or other materials to the proper Manager.
  • Support HR with potential hires and new hire process.
  • Provide support for training classes held at the office.
  • File paperwork as needed, to include filing overflow paperwork in storage location.
  • Assist with other office duties such as organizing/cleaning work and storage areas, training room, file room, and kitchen, etc.
  • Arrive to scheduled shifts as scheduled and on time unless prior arrangements have been arranged and approved by Supervisor.
  • Come to work with a positive attitude.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

  • Frequently required to stand.
  • Frequently required to walk.
  • Frequently required to sit.
  • Frequently required to utilize hand and finger dexterity.
  • Frequently required to balance, bend, stoop, kneel.
  • Continually required to talk or hear.
  • While performing the duties of this job, the noise level in the work environment is usually moderate.
  • The employee must occasionally lift and/or move up to 10 lbs.
  • Specific vision abilities required by this job include: Close vision and the ability to adjust focus.
  • Work is performed in a traditional commercial office setting with standard office lighting and white noise.

Job Type: Part-time

Pay: From $19.60 per hour
