Administrative/ Communications Specialist
Reports To: Finance Manager
Hours: 7:30AM-4:00PM (occasional hours outside of this timeframe as needed) This is a full-time (40 hours/ week), non-exempt, non-union position.
Compensation and Benefits: Starting Pay: $30.20 – $37.75
Benefits include Health Insurance, Dental Insurance, Vision Insurance, Long-Term Disability, Basic Life and AD&D, Health Saving Account, Public Employees Retirement Association (PERA) and Deferred Compensation. Paid vacation, sick leave (ESST) and holidays.
Duties and Responsibilities:
- Execute annual communications plan for ALP departments and programs to drive customer engagement
- Attend various community events, trainings and face-to-face customer meetings
- Maintain ALP’s online presence including social media, web content and SmartHub Marketing
- As requested, compose or prepare internal and external correspondence for General Manager, Department Managers, and utility staff by editing and proofreading all documents
- As requested, prepare spreadsheets, reports, proposals and presentations using Microsoft Office software
- Maintain accurate and efficient filing systems. Ensure documents are scanned/ placed in the appropriate files and retention schedules are followed
- Prepare and post meeting notices, compile electronic board packet and attend Board meetings to take minutes
- Maintain ALP’s service policy documents
- Serves as the primary contact for conference registrations and travel accommodations
- Distribute mail, manage shared inboxes, maintain company calendars, order office supplies and promotional/informational materials, and other clerical duties as assigned
- Serves as a backup for Customer Service
Education / Experience:
- Minimum: High School diploma or GED, two or more years of relevant work experience, proficiency in Adobe Acrobat, portfolio creation, and Microsoft Office products.
- Preferred: Attention to detail, strong organizational skills, ability to work well with others, familiarity with document/ record retention and graphic design platforms.
