Description of Primary Duties
1. Provides administrative support to program by providing reception services, scheduling appointments, meetings, and travel, filing, researching files and records, and preparing and proofreading correspondence, reports, and other documents as Helps the program achieve its mission by performing processes related with the work of the Supports the work of the program by maintaining an inventory of equipment and supplies, and utilizing the appropriate process to request purchases for the Helps to organize and program events by securing space, equipment, food, preparing invitations, announcements, agendas, brochures, and packets, purchasing awards, making travel arrangements and reservations, and assisting with the event as it Supports the administrative business functions of the program by creating communication, maintaining and updating the programs project management software, maintaining the programs database and website as requested, verifying student worker and GA time sheets, scheduling conference rooms, and maintaining security of equipment, files, and Supports the program with grant deliverable documentation, monitoring and reporting, as directed by the Remains competent and current by attending professional development courses, software training classes, and courses and / or training sessions as directed by the supervisor or required by the Supports the program by performing all other duties as assigned by the supervisor. Minimum Acceptable Qualifications Education / Experience : A high school diploma or equivalent and one year of general office experience is required.
Skills : Keyboarding skills with speeds are required. A working knowledge of word processing and spreadsheet applications is required. A working knowledge of or the ability to learn and use database applications and project management software is required. The ability to operate and troubleshoot electronic office equipment, computers, and peripherals, maintain moderately complex filling systems and records, and make mathematical calculations is preferred. Effective verbal and written communication skills are required. The ability to train, review, and oversee the work of student workers is preferred. Active engagement and familiarity with the Springfield area, is preferred.
The scope of this job will require some travel and occasional attendance at evening meetings and / or events. Additional Qualifications
