Description

SUMMARY

The Maritime Conference Center has an immediate opening for a Sales Coordinator Express Meeting Manager. This position is responsible for supporting the sales team's efforts in developing new conference center bookings, and for booking "express" meetings : those meetings that are booked 4 weeks or less in advance, 20 or less guests. This position receives incoming sales leads via phone, email or walk-in, qualifies prospective clients and assigns to appropriate sales manager. Updates and maintains Customer Relationship Management (Visual One) with all bookings and sales activities. Responsible for following up on prospective client leads, assisting sales team with creating and ensuring timely return of contracts, collecting deposits and the like. Provides Director of Sales (DOS) with administrative support with running the department. Assists with travel arrangements, turnover reports, and other duties in support of Marketing Plan. Assists with specific market segments requiring additional focus, as directed by the DOS.

SUPERVISION

Reports to the Director of Sales, and in absence of DOS, reports to General Manager.

Requirements

MAJOR DUTIES AND RESPONSIBILITIES

  • Answer sales office phones when sales staff not available. Respond to all sales inquiries accurately, timely and in a professional manner.
  • Take inquiries for "express" meetings.
  • Create correspondence, reports, and necessary forms i.e., contracts and periodic sales reports.
  • Assist the DOS and GM and front office with rooms-only blocks.
  • Expertly navigate the CRM and sales systems to accurately communicate customer meeting / conferences details to other departments.
  • Responsible for effectively communicating with the various departments to ensure that the meeting and related functions are executed to exceed the client's expectations.
  • Develops strong customer relationships through appropriate client communication and the use of professional, courteous, and ethical interpersonal interaction.
  • Work with sales personnel to achieve required sales team goals.
  • Have current knowledge of MCC rates, strategies, discounts, and promotions.
  • Embraces the Mission and Vision of the Maritime Conference Center and represents the organization professionally.
  • Assists the Sales department with team events, client events, etc.
  • Conduct walk-in tours.
  • Manages the inventory of office supplies, promotional materials and creates giveaways for site visits and customer appreciation.
  • Work with conference services and the front desk on all group turnover and proper execution of the groups.

DESIRED QUALIFICATIONS

  • Previous hospitality experience is preferred, i.e., sales, front office, food / beverage, or restaurant where interpersonal communication was key.
  • High school diploma or college degree.
  • Proficiency in computers, Microsoft Office Software, and the internet. knowledge of Property Management Systems is helpful.
  • Excellent telephone manner and solicitation skills to develop new business.
  • FT Salaried Position with benefits including health care, dental and vision for employee and legal dependents with zero payroll premium deduction. Pension and IRAP employer contributions. Extensive PTO includes vacation, holiday, sickness and personal time off.

    Annual Salary commensurate with experience / skill sets. $50-$55,000.00
