Job Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess exceptional leadership skills and a strong background in office management. You will be required to performs all accounting tasks involving the company, handle all human resource issues and supervise the administrative assistant position.
Responsibilities
- Accounts Payable
- Accounts Receivable
- Track project budget status
- Invoice Projects Monthly
- Assist in writing proposals when needed
- Payroll
- File Payroll Tax Reports-940, 941 & TWC
- Maintain Property Tax Records & file Reports
- Coordinate tax issues with CPA
- Submit monthly IRA Contributions
- Coordinate IRA contributions with financial advisor
- Flex Spending Accounts
- Reconcile Checking Accounts and Money Market Account Monthly
- Coordinate Insurance-Health & Prescription, Dental, Vision, Life, & AD&D and Worker’s Comp & Professional Liability
- Review and approve supply requisitions
- Hear employee complaints and queries
- Serve as a link between management and employees
- Supervise and monitor the work of the administrative assistant
- Ensure that health and safety policies are in place and up to date
- Keep personnel records current
- Maintain resume files and coordinate interviews and hiring of new staff
- New hire orientation
- Keep employees informed of insurance, IRA and tax updates
- Organize and attend monthly partners meeting
- Assist in organizing office operations and procedures
- Ensure the smooth running of the office on a day to day basis
- Attend related educational conference/workshops
- Maintain 1999 Properties Books (mortgage payments, collect rent, pay misc. bills, reconcile monthly bank statement & coordinate taxes with CPA)
- Be vigilant and report building/property maintenance/repairs as needed
Qualifications
- High school diploma with minimum of 10 years’ experience.
- Must be proficient in QuickBooks
- Must have demonstrated working proficiency with Microsoft Office (Work, Excel, PowerPoint & Adobe Acrobat)
- Must possess strong electronic data organization skills
- Must be detail-oriented, organized and self-motivated
- Must possess strong written and verbal communication skills
- Must be reliable and discrete: you will often learn of confidential matters
- Must possess problem solving skills
- Must possess budgeting skills

Pay: $19.70 - $20.19 per hour
