Job Summary:
The Installation Logistics Coordinator works closely with the Installation Manager to coordinate and manage the logistics of daily sign installations. This role ensures that all aspects of installations are efficiently planned and executed. The position requires strong organizational skills, effective communication, and a proactive approach to problem-solving. The Coordinator will be a pivotal communication link between installation, production, sales, and project management teams, ensuring all installation details are clear and all required resources are in place. Responsibilities include scheduling, preparing job details, coordinating with multiple departments, and maintaining safety standards.
Key Responsibilities:

Scheduling and Logistics Management:
Coordinate and manage the daily installation schedule, ensuring that work orders are added and monitored consistently so new orders are added daily. Utilize the fulfillment report and install schedule to stay ahead of loadout dates, ensuring on-time departure of install teams. Assign manpower and equipment to meet project needs. Ensure job details and materials are prepared in advance of deployment. - Cross-Departmental Communication:
Liaise with the Production Department to ensure all signage is completed and ready for upcoming installations. Collaborate with Final Assembly to prepare products for deployment and with the Sales and Project Management teams to collect and verify project details confirming job sites are prepared for installation. -
Tools, Equipment, and Safety Oversight:
Ensure installation crews are equipped with necessary tools, fasteners, hand tools, and patterns. Maintain and manage truck and equipment maintenance schedules, keeping detailed logs and incorporating safety protocols. -
Product Loadout and Quality Control:
Work with the Loadout Department to ensure the correct signage and components are loaded for each job. Perform quality control checks, verifying that all required parts and components (e.g., mounting hardware, pipe, patterns, power supplies) are included. Assist the Loadout Department with crating, wrapping, and logistics, while ensuring all paperwork is complete. -
Documentation and ERP Management:
Input timesheets into the ERP system, manage daily records, and ensure that all paperwork for shipments and deliveries is accurate and submitted timely. Work with computers and software including ERP systems, Excel, and other Microsoft products for scheduling and reporting. - On-Site Coordination:
Coordinate, in some cases conduct, site visits and ensure job readiness, confirming all work order details. Communicate with the Sales and Project Management teams to maintain accurate work order dates and address any issues that arise during installations. - Shipping and Delivery:
Manage deliveries made by employees to customers and job sites, ensuring timely and accurate drop-offs. Coordinate shipments by communicating schedules, preparing necessary paperwork, and confirming all logistical details are in place for smooth delivery operations. - Daily Reporting:
Report daily installation activities to the Project Managers, including crew deployments and job statuses. Ensure issues are communicated, completion photos are collected, and return trips are scheduled if necessary. - Communication:
Field phone calls, manage emails, and maintain accurate communication throughout the day with the Install Manager and relevant departments. Prepare reports on crew deployments and job completions. Attend the weekly Status meeting to report on installation schedule. - Safety Program Implementation:
Work with the Installation Manager to develop and incorporate a safety program for the install team, ensuring all safety measures are met consistently. Complete and maintain records and documentation related to safety protocols, training, incidents, and compliance requirements. -
Truck and Equipment Maintenance:
Maintain a log for truck and equipment maintenance, scheduling regular upkeep to ensure vehicle availability and functionality. Schedule truck and equipment usage around planned maintenance to avoid delays. Troubleshoot issues with equipment and trucks, providing solutions for repair to ensure minimal disruption to operations. Ensure all maintenance needs are communicated, tracked, and completed in a timely manner to prevent interruptions in installation schedules.
