The Order Management Coordinator – International is an integral part of our international business reporting to the Manager, Order Management. The position will coordinate all aspects of order management working cross functionally with many internal departments and distributors while coordinating efforts to successfully navigate orders from order-to-cash.
Responsibilities
Order Management:
- Manage order process from receipt of purchase order to shipment while collaborating with cross-functional stakeholders.
- Develop and maintain cross functional partnerships with: International Sales Team, country-level distributors, Customer Master, Credit & Collections, Finance, Regulatory, Operations, and Shipping.
- Ensure accurate and timely order entry to fulfillment, resolve issues that arise and develop standard operating procedures that drive efficient workflow processes.
- Facilitate and/or participate in meetings with both key internal and external stakeholders and present order status in the weekly forecast meeting.
- Drive the daily interface with distributor’s requests and/or challenges with products on country exclusions.
- Act as the primary point of contact for customer inquiries related to orders, providing timely updates on order status, changes, and delivery schedules.
- Track and communicate any issues that arise throughout the order process, including delays due to product shortages, pricing issues, finance holds, regulatory blocks, freight forwarder/shipping issues.
- As issues arise that may potentially prevent on-time shipment, collaborate with internal teams to arrive at the best possible outcome while providing timely communication to all relevant parties.
- Create and/or maintain documented work instructions.
- Create Pro-forma invoices as requested.
- Coordinate New and Terminated Distributor contracts.
- Update and maintain Distributor Document Listing.
- Coordinate distributor termination process by utilizing current checklist. Update checklist as applicable.
- Ensure the order discount process is followed.
- Prepare order status reports and present them at weekly Forecast meetings and weekly calls with International Region Sales Managers.
- Analyze data to identify trends, areas for improvement, and opportunities for cost savings.
- Monitor and report on demo equipment monthly with Regional Sales Specialists ensuring timely and accurate information exchange.
- Develop and execute, with key stakeholders, new programs designed to improve sales support and efficiency of the international business.
- Bachelor’s degree in business or equivalent combination of education and experience.
- Minimum of 6 years of progressively responsible customer service experience or equivalent combination of education and experience.
- Minimum of 6 years of working knowledge of SAP or equivalent top tier ERP system.
- Minimum of 6 years international order processing .
- Skillful at setting priorities, time management and meeting deadlines.
- Basic knowledge of incoterms and freight terminology.
- Proficiency in standard business computer software applications (MS Word, Excel, Teams, Outlook).
- Demonstrated strong presentation and organizational skills.
- Demonstrated customer centric focus approach by embracing collaboration and encouraging. communication cross functionally.
- Ability to establish credibility with internal and external customers.
- Ability to function calmly in a fast-paced environment.
- Versatile learner with the ability to function in a changing environment.
- Second language desirable.
Salary : $80,000 - $142,000
