What we are looking for :

The Centralized Application & Lease Specialist is responsible for administering the full application review and lease generation process across a designated region. You will collaborate closely with the onsite community management teams to ensure a seamless move-in experience for new residents. This role includes application approvals, income verification, collection of lease signatures, and ensuring compliance with company and legal standards throughout the leasing process.

The Role :

Application and Lease Management

  • Administer the full cycle of application review, approval / denial, income verification, lease generation, and signature collection.
  • Ensure accuracy and completeness of lease information and documents in accordance with MJW's legal and audit requirements.
  • Verify resident qualifications, government-issued photo IDs, and other required documents prior to generating leases.
  • Adhere to federal, state, and local Fair Housing regulations during the application and lease process.

Collaboration with Onsite Teams

  • Partner with onsite community management to ensure a smooth transition during the application and move-in process.
  • Notify future residents of their application status and coordinate the completion of lease paperwork, including deposits and required documentation.
  • Operational Oversight

  • Maintain accurate resident ledgers, apply concessions, and ensure ledger adjustments are accurate in collaboration with the Business Managers.
  • Thoroughly enter application data into the company's CRM system, maintaining meticulous records and notes in Sugar CRM, Onesite, and Text line.
  • Customer Service and Compliance

  • Provide superior customer service to prospective residents and internal teams to ensure seamless leasing experience.
  • Ensure compliance with mandatory renters' insurance policies and follow company protocols before move-ins.
  • Assist team members with follow-ups and handle customer inquiries regarding lease details, amenities, and the surrounding area.
  • Process Improvement and Reporting

  • Collaborate with internal MJW teams to improve access to data, automations, and reporting that supports department efficiency.
  • Identify opportunities for growth and innovation within the department and contribute to strategic initiatives.
  • Qualifications

    Associate’s or bachelor’s degree in business, Real Estate, or related field preferred - not required

    2 years in property management, leasing, or a related field.

    Experience working with leasing documentation and compliance processes.

    In-depth understanding of renters’ insurance policies and move-in compliance requirements.

    Familiarity with Fair Housing laws and local / state housing regulations

    Skills & Expertise :

    Proficient in property management tools (Sugar CRM, Onesite, etc.) and Microsoft Office Suite.

    Familiarity with automated reporting and data entry tools is a plus.

    Strong verbal and written communication.

    Exceptional organizational and multitasking abilities.

    Exposure and Environment

  • Remote and Office-Based Work : Primarily operates in an office setting or remote environment, with occasional visits to properties as needed for lease or application-related matters.
  • Client and Tenant Interactions : Regular engagement with future residents, property management teams, and other stakeholders through phone, email, and virtual meetings.
  • Data-Driven Environment : Extensive use of CRM systems (e.g., Sugar CRM, Onesite) and digital platforms, requiring accuracy and attention to detail in data entry and record-keeping.
  • Compliance-Centric Tasks : Exposure to legal and audit processes related to lease and application documentation, ensuring adherence to Fair Housing laws and internal standards.
  • Collaborative Setting : Close coordination with onsite teams, business managers, and internal departments to support seamless application processing and move-ins.
