We are seeking a detail-oriented and organized Administrative Assistant/Receptionist with experience in the construction industry. As the first point of contact for clients and vendors, you will handle incoming calls, manage communications, and maintain a welcoming environment in our office. You will work closely with project managers and finance teams to ensure compliance with legal and contractual obligations regarding lien releases and waivers. Essential Duties and Responsibilities:
- Responsible for answering a multi-line phone system, directing calls to the appropriate department, or taking accurate messages for unavailable associates.
- Providing callers with information pertaining to the company i.e.: Office Hours, directions, fax numbers, website, and other company information.
- Greets all visitors and inform associates of their guest’s arrival.
- Receiving and disbursing all mail and express mail services. Logging and Distribution of all incoming and outgoing mail to appropriate departments along with the accurate flow of correspondence maintains and routes publications including faxes.
- Assist in preparing, reviewing, and organizing waiver and lien release forms to ensure compliance and completeness.
- Coordinates all pick-up and delivery of express mail services (FedEx, UPS, Etc.)
- Responsible for maintaining, ordering, organizing, and stocking all office supplies.
- Assist with other related clerical duties such as photocopying, faxing, filing, and collating.
- Ad-hoc duties as needed.
Qualifications:
- Proven experience as an administrative assistant, receptionist, or similar role, preferably in the construction industry.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
- Familiarity with waiver and lien release processes and legal compliance in construction contracts.
- Detail-oriented, organized, analytical, and self-motivated.
- Excellent verbal and written communication skills to interact effectively with clients, vendors, and colleagues.
- Strong organizational skills with the ability to manage multiple tasks and deadlines effectively
- Customer service skills with a positive demeanor, and a strong team player.
