JOB DUTIES
- Provides support to the Vice President of Ancillary Services, Director and Construction Coordinator of Facility Engineering.
- Acts as Recorder for Physical Environment, Safety Management, and Workplace Violence Prevention Committees’ meetings and other meetings as requested. Assists with the preparation of applicable reports.
- Prepares and processes information/reports as requested to state agencies (DOH, Labor & Industry, Penn DOT) -- Tier II, DNV, Placard Program.
- Manages regulatory inspection documentation -- follow-up actions taken by FED.
- Serves as Coordinator for ECRI recall system. Maintains property matrix and performs account coding for all utilities.
- In absence of the Facility Engineering Secretary, answer's FEDs hotline, processes FED POs, assigns routine work orders to FED staff.
- Manages the sign program for facilities and affiliates.
- Prepares and approves payroll and maintains attendance records for FED staff.
- Prepares and maintains FED staff master schedule.
- Maintains Policy/Procedure and Assessment manuals.
- Maintains in-service, orientation, education and other staff records.
- Orders and maintains departmental supplies.
MINIMUM EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- High School graduate or GED equivalent
- Business training preferred
- Ability to readily apply the rules of grammar, spelling, and punctuation
- Minimum one-year experience with office work
- Experience with personal computers, word processing, spreadsheet, graphics and data base required
- General knowledge of Facility Engineering Department operation, tools and equipment preferred
- Must have excellent communication skills
- Schedules meetings and prepares presentations for VP of Ancillary Services.
- Orders publications for patient waiting areas and distributes to volunteers for delivery.
- Performs other duties as assigned.
WORKING CONDITIONS
Primarily in an office setting. May need to work under stressful situations with frequent interruptions.
