We are seeking a highly organized and detail-oriented Bookkeeper to provide administrative and accounting support for the finance department. This role involves a mix of routine bookkeeping tasks and operational duties, ensuring efficient financial management across various entities. The ideal candidate will have a strong understanding of accounting principles and the ability to adapt to evolving responsibilities.
Key Responsibilities:
Accounts Payable Administration
- Responsibilities include preparing checks for print runs (verifying invoice, allocating expense, ensuring vendor information is correct)
- Preparing checks for authorization by Director
- Non-vendor to start
- Will be expected to take over all payments in time
- Cash receipts reconciliation
- Periodically (weekly)
- Uploaded cash receipts are cataloged in quickbooks and recorded as expenses the accounting system for traceability
- This is to be reconciled against cash counts reported by MODs
- Utilities
- Ensuring utilities are properly applied to the landlords responsibility where applicable and notifying director of needed payments
- Review charges systematically to identify anomalies
- General Ledger
- Light transaction allocation work when combing through bank feeds
- Depreciation and amortization reporting
- COGS and inventory journal entries
- In general, other LLC bookkeeping will require a similar light transaction allocation work but a bit more in depth work related to ensuring completeness and accuracy
- Adherence to US GAAP standards and principles
- Encourage other employees to adhere to company standards and ethics
- Ensuring utilities are properly applied to the landlords responsibility where applicable and notifying director of needed payments
Record Keeping:
- Bookkeeper will be expected to understand and assist in product intake through manifest acceptance to help when intake is high or if other team members cannot fulfill function
- Ensure proper documentation protocols are upheld and followed through
- Properly catalog and store documentation to be easily accessible/retrievable when required
- Build out and properly maintain guidance documentation and ensure procedures are properly aligned with reality
Record Maintenance:
- Work with Accounting Manager to ensure proper reconciliation of accounts occurs in a timely manner following a prescribed procedure and assist in monthly closing process
- Product feedback summarization
- Work with external auditors or accountants as needed.
Requirements:
- Must be at least 21 years of age.
- Previous bookkeeping experience preferred.
- Strong communication and organizational skills.
- Ability to type at least 40 words per minute.
- Proficiency with computers, tablets, and financial software (QuickBooks, Xero, Excel, etc.).
- Must be able to accurately observe details at close range and interpret information on digital screens.
- Reliable and punctual – must be able to arrive on time for scheduled shifts.
- Comfortable discussing medical and recreational cannabis in a professional setting.
- Ability to pass a pre-employment background check.
- Must commit to working sober – we love cannabis, but we do not get high on the job.
- This position is based on site and not eligible for remote commuting.
Qualifications:
- Associate's degree required; Bachelor's degree preferred.
- Proven experience in bookkeeping or accounting.
- Proficiency in accounting software and Microsoft Excel. Previous experience with and ERP preferred.
- Strong attention to detail and problem-solving skills.
- Excellent organizational and time-management abilities.
