Job Description:
We are seeking a highly motivated and detail-oriented Scheduler to join our team in Morristown, NJ. The ideal candidate will have prior experience in scheduling, strong communication skills, and a customer-focused approach to their work. This role plays a critical part in ensuring smooth operations and providing excellent service to our clients and staff.
Responsibilities:
- Accurately handle incoming phone calls, SMS requests, electronic web requests, and perform patient registration.
- Place outbound calls to clients and schedule appointments efficiently.
- Ensure timely completion of inbound scheduling requests via fax or electronic work queues.
- Record and address special patient needs (e.g., special accommodations, exam protocols, interpreters).
- Communicate upcoming schedules to staff and clients.
- Perform client intake scheduling with all necessary demographic and insurance information to streamline onboarding.
- Coordinate with clients’ families to align schedules and staffing needs.
- Facilitate connection between clients and billing offices for insurance verification.
- Actively solicit and respond to customer feedback to enhance the client experience.
- Meet productivity and quality expectations across all job functions.
- Escalate cases as needed and report system errors to supervisors to promote training opportunities.
- Maintain up-to-date knowledge of insurance requirements.
Required Skills and Qualifications:
- 1-3 years of prior scheduling or administrative experience.
- Proficient in typing with a speed of at least 35 words per minute.
- Excellent customer service, interpersonal, and communication skills.
- Strong team player with the ability to work in a fast-paced environment.
- Familiarity with healthcare billing and scheduling processes.
- Experience working in a high-call-volume environment.
- Associate’s Degree required; Bachelor’s Degree preferred.
Preferred Skills and Experience:
- Knowledge of medical terminology and insurance processes.
- Prior experience in private duty home care scheduling.
- Relevant experience as a Scheduler, Practice Office Assistant, or Patient Access Representative.
- Proficiency in Electronic Medical Records (EMR) systems, preferably Med Syst Vincent.
Additional Skills:
- Queue management, staffing coordination, and patient registration.
- Positive, customer service-oriented attitude.
- Ability to adapt to new processes and meet deadlines effectively.
Schedule:
- Monday to Friday, 10:00 AM - 6:00 PM EST
- 7.5 hours per day, 37.5 hours per week
