Supervisory Responsibilities: Central Schedulers
Objective: The Central Scheduler Coordinator maintains responsibility for scheduling of all employees. The scheduler will monitor all activities which support the needs of minimum staffing levels with budgetary alignment. Control shift assignments, create shift profiles, approved scheduled vacation/PTO requests, and approved overtime within set budgetary restrictions. Will also perform time keeping audits as required by Operations and Administration. Will be responsible for scheduling and tracking credentials for operations staff. Will issue discipline and make sure timekeeping, PTO, tardy/absenteeism policies are consistently followed throughout the organization. Will perform audits of the same to ensure consistency. Will assist Operations with supply ordering and other duties as assigned.
Essential Duties:
- Know and support the Mission Statement, Policy/Procedures and standards of MMR.
- Coordinates day to day with Operations in the process of filling open shifts or reductions in force to meet resource/demand targets
- Maintain communication and positive working relationships with all staff to facilitate a safe and efficient operation
- Maintains appropriate staffing levels for each division
- Creates, consolidates, and edits shift profiles and schedule templates as well as publishes the schedule for all departments and locations of MMR
- Monitors and reviews overtime in relation to staffing levels at strategic points throughout the week and reports to Operation Managers.
- Assures that each employee meets their minimum hour requirement weekly, reporting and notifying individuals as necessary
- Maintains effective and accurate use of the scheduling software and is knowledgeable of all support tickets, product updates, and enhancements of the software
- Monitor attendance and discrepancies issues
- Schedule contingent and part-time staff to meet minimum required number of hours per month in accordance with MMR policy and send out letters when needed to staff.
- Assists new employees with training, access, and usage expectations within the scheduling software
- Selects the appropriate shift for new hires upon clearance while assessing business needs with employee requests
- Works in close alignment with Payroll to ensure scheduled and paid items are accurate
- Works in close alignment with Finance to ensure shift profiles have accurate cost centers, departments, and labor allocations, making all necessary updates prior to close of payroll
- Works in close alignment with Human Resources to ensure leave of absence, FMLA approval, light duty work, as well as paid time off balance, paid medical leave, and attendance points
- Clears all timecard discrepancies
- Responsible for staffing and associated administrative duties for special events
- Schedule employees for specialty classes
- Schedule new hires for road safety
- Maintain adequate availability for communication by employees, supervisors, and managers
- Attend all required meetings
- Oversees all central scheduling staff to ensure consistent application of timekeeping and related policies
- Perform other duties as assigned.
Qualifications
Knowledge, Skill and Competency Requirements:
- Minimum of 3 years of relevant experience with timekeeping and scheduling software (workforce greater than 200 personnel)
- Supervisor experience desired.
- Associates degree preferred
- Must have strong organization, communication, problem solving and inter-personal skills
- Must have strong computer skills
Physical Factors: Suitable dexterity to operate standard office equipment. Capability to stand or sit for extended periods of time. High emotional effort. Position can be hectic with periods of high stress. Position requires managing multiple tasks in a time critical manner.
Working Conditions: Most work is done in a typical office setting. Inside generally 100%; however, may include outside work on occasion.
