Job Overview
Modular Trail Structures is looking to add an Office Administrator to our team. In this role, you'll work closely with the President and CEO as well as the production team to facilitate the smooth completion of projects.

Key Position Responsibilities:
- Ensure all job files contain required documentation; timesheets, expense reports, and invoices, for example
- Schedule and coordinate additional services for job sites, then ensure all vendor and third-party billings are accurate, recorded, & within project controls
- Manage any project travel & billing activities
- Coordinate, manage, and document planning or follow-up meetings for projects
- Carefully maintain records with accuracy and integrity via data input and audit. Your curiosity and a strong desire to seek correct answers will ensure your numbers are accurate every time before you send them off to others.
- Lead and manage strategic projects from initiation to completion; overseeing project execution, progress, identifying issues, administering corrective action ensuring all deliverables are met on time and within budget with minimal executive oversight.
- Prepare and deliver updates on key initiatives and projects to the CEO and other stakeholders.
- Onboard and offboard employees; ensure that all documentation has been completed.
- Other duties as assigned.
Required Qualifications:
- Have previous experience in a similar managerial position
- Have an Associate’s degree or higher level of completed education
- Proficiency with MS Office (Excel, Word, PowerPoint, Outlook).
- Proficiency with Google.
- Tech savvy. The ability to troubleshoot computer issues that may arise.
- Ability to coordinate ZOOM and TEAMS meetings.
- Can-do attitude.
- Exceptional organizational and time-management skills.
- Strong money management skills, being cost conscious when making purchases for either the CEO or company
- Strong multi-tasking skills.
- Proactive with the ability to solve problems is important in this role.
- Ability to work independently.
- Handle confidential information with the utmost discretion and confidentiality.
