Summary
As a member of the Special Events Team, the Events Specialist will be a main point of contact for the logistics of our giving society events. This position will assist with administrative details for Magnolia Ball, Miles for Moffitt, and the Sarasota Luncheon. They will also assist with our third-party community partner events by attending third-party events, ordering promotional items, check presentations, guest experience and event outreach. Reporting to the Special Events Supervisor, this position is an integral part of the Foundation's efforts to reach financial targets and provide critical funding for Moffitt Cancer Center's research initiatives.
Responsibilities:
- Manage the event logistics for annual events which includes, but are not limited to attendee management, food & beverage orders, audio/visual, presentations/guest speakers, name badges, communications, implementation of event and on-site support.
- Assist the Corporate and Community Philanthropic Advisor and work with the giving society committees to grow and engage members.
- Provides support to those directly planning or coordinating signature events with daily administrative duties including but not limited to: Assist the Event Supervisor with Running reports, guest inputting, table cards, signage, picking up auction items, creating PowerPoints, and admin materials. Provide customer support to participants by managing the email inbox and phone line. Assist with community outreach by distributing flyers, coupons, yard signs and tabling. Assist team with stuffing/mailing welcome gifts, packet mailers, and medal prep.
- Attend community partner events and check presentations.
- Fulfill promotional item request and update inventory
- Assist with answering questions about the online fundraising platform
Credentials and Qualifications:
- Bachelor’s Degree is required.
- Minimum of one (1) years relevant experience in a fundraising/philanthropy environment with a concentration of special events, volunteer management, and/or community outreach.
- Ability to be flexible and effectively interact with a variety of audiences; excellent communication skills, both oral and written; demonstrated proficiency with MS Office including Word, Excel, and Outlook.
- Experience with event logistics with various moving parts.
- Comfortable with public speaking.
- Strong organizational skills.
- Detail-oriented with the ability to manage multiple projects at one time.
Preferred
- Relevant experience in healthcare, research, or academic environment preferred
- 1 years’ experience with Raiser's Edge database
