The Position:

The Executive Assistant provides operations support within the Boise office and day-to-day assistance to the Chief Operating Officer and Consulting Team. This includes managing correspondence (phone and email), managing data filing in a Salesforce database, scheduling meetings, and answering phones. Occasional travel may be required.

The successful candidate will be a clear communicator and problem-solver, and never hesitate to roll up their sleeves to do the work needed to get a job done well. Across all their responsibilities, they ensure tasks are completed with a high degree of quality and in a timely manner. This person must be fluent in Spanish and English.

Job Duties:

Office Administration

  • Field incoming phone calls, respond accordingly, schedule follow-up calls and meetings as necessary
  • Order and stock office with drinks, snacks, and supplies regularly
  • Run mail and errands as needed
  • Maintain clean and organized common areas
  • Coordinate with contractors on office maintenance: office cleaner, landlord, parking, HVAC, electrician, etc.
  • Maintain company vehicle: oil changes, tire swaps, and general upkeep
  • Answer or return missed reception calls in a timely and respectful manner (in both English and Spanish)
  • Coordinate and assist with office events as needed: board meetings, office gatherings
  • Balance petty cash drawer monthly

Consulting Support

  • Pull and interpret credit reports to provide relevant insights
  • Accurately maintain client data in Salesforce
  • Communicate with clients to request and follow up on necessary information
  • Coordinate and schedule meetings between Technical Assistance (TA) managers and clients
  • Assist with TA time tracking in Salesforce and ensure compliance with reporting requirements
  • Manage and prioritize incoming client requests

Learning

The position will learn to understand credit reports, personal financial statements, and business financial statements. The position requires proficiency using Salesforce and Docusign, which can be trained on the job.

QUALIFICATIONS

  • Bachelor’s degree, required
  • Comfortable working with numbers
  • 3 years of experience in a similar position
  • Professional communication skills
  • Excellent organizational skills
  • Strong attention to detail
  • Ability to work and thrive in a fast-paced, changing environment
  • Excellent time management and prioritization skills
  • Ability to juggle and prioritize multiple time-sensitive tasks
  • Natural desire to be proactive and create a positive experience for those around you
  • Proven ability to work collaboratively and foster strong relationships with colleagues
  • Strong technical acumen, including use of MS Office suite.
  • Strong proficiency in Excel, preferred
  • Familiarity with Salesforce (or other CRM), preferred
  • Fluency in Spanish, both written and verbal

COMPENSATION
Salary is $40,000-$70,000 per year based on experience. Additional compensation includes full employer paid medical, dental, and vision benefits; employer-sponsored 401K retirement benefits; life insurance; holiday savings matching program; monthly wellness stipend; paid vacation, holiday, and sick leave; and short and long-term disability and AD&D.
