Job Description: As a Front Desk Receptionist at our practice, you will be the first point of contact for our patients, providing outstanding customer service and administrative support. You will play a crucial role in ensuring the smooth operation of our office by efficiently managing appointments, handling inquiries, and maintaining accurate patient records. Your friendly demeanor and professional demeanor will contribute to creating a welcoming and comfortable environment for our patients. We are looking for someone with a strong customer service background who pays attention to details and works well with their peers. Prior experience in a medical office setting would be preferable.
Responsibilities:
- Greet patients warmly and provide a friendly, professional, and inviting atmosphere.
- Handle patient concerns, complaints, and feedback with empathy and professionalism, escalating issues when necessary.
- Handle incoming calls, inquiries, and emails, and direct them to the appropriate departments or individuals.
- Schedule patients appointments accurately using our patient management software (EHR), considering availability, treatment duration, and specialist availability.
- Check and verify insurance information provided by patients.
- Process payments, handle insurance and payment transactions, and maintain accurate records of financial transactions.
- Collect patient information, update records, and ensure accuracy of personal details, medical history, and consent forms.
- Maintain the cleanliness and organization of the reception area, ensuring it reflects our brand image and meets high standards of professionalism.
- Coordinate with service providers and maintain an up-to-date knowledge of their schedules, ensuring efficient allocation of resources and timely service delivery.
- Assist in inventory management, including monitoring and replenishing supplies and products.
- Assist in other administrative tasks, such as filing, data entry, and maintaining office supplies inventory.
Requirements:
- High school diploma or equivalent; additional certifications in customer service or administration are a plus.
- Proven work experience as a receptionist, experience in a medical environment, wellness center, or healthcare setting is preferred but not required.
- Excellent interpersonal skills, with the ability to communicate effectively and professionally with clients, colleagues, and service providers.
- Strong organizational and time management skills, with the ability to multitask and prioritize responsibilities in a fast-paced environment.
- Proficiency in using practice management software (EMR) or other appointment scheduling systems.
- Familiarity with basic medical terminology and cosmetic procedures is desirable.
- Exceptional attention to detail and accuracy in record-keeping.
- Proficient computer skills, including MS Office (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive patient information with discretion and professionalism.
- Positive attitude, team player mentality, and a passion for delivering exceptional customer service.
- Flexibility to work weekdays, weekends, and occasional evenings as per business needs.
