Momentum Behavior Services is hiring an Intake Coordinator and Scheduler to join our diverse team at our Rochester, MN Center where culture, compensation, and support are unmatched.
Momentum Behavior Services (MBS) provides high-quality, evidence-based services to children, adolescents, and young adults with Autism Spectrum Disorder (ASD).
The dual role of the Intake Coordinator and Scheduler will involve managing the intake process for new clients while also scheduling appointments and sessions for our team of Behavior Technicians. The ideal candidate will have excellent communication skills, a strong ability to multitask, and a customer-focused approach.
Responsibilities:
Intake Coordination:
- Serve as the first point of contact for potential clients and families seeking services
- Conduct initial phone consultations to gather essential client information and determine service eligibility
- Guide clients through the intake process, including completing necessary documentation and obtaining required consents
- Communicate with clinicians to facilitate the smooth transition of new clients into appropriate services
- Conduct tours of facilities
- Maintain accurate records of client interactions and ensure all necessary intake paperwork is completed and filed appropriately
Scheduling:
- Coordinate and manage schedules for clients and staff to maximize efficiency and meet service needs
- Utilize scheduling software, Central Reach, to book, cancel, and reschedule appointments as necessary
- Ensure schedules are communicated clearly to staff and clients, adjusting as needed for cancellations or changes
- Collaborate with clinical staff to prioritize client needs and adjust schedules to match staffing availability
- Serve as the point of contact for clients needing assistance with their scheduling needs and conflicts
Qualifications:
- High school diploma or equivalent required
- Associate's or Bachelor’s degree in a related field preferred
- Proven experience in a similar role, ideally in a medical or behavioral health setting
- Strong organizational and multitasking skills with attention to detail
- Excellent verbal and written communication skills
- Proficiency with scheduling software, Central Reach, and Google Suite
- Ability to handle sensitive and confidential information with professionalism
- Strong interpersonal skills and ability to work effectively in a team-oriented environment
- Customer-focused mindset with a commitment to providing excellent service
