What are the responsibilities and job description for the Facilities Associate Director position at Momentum?
**Monday through Friday 8:00am to 4:30pm**
Pay range is $120,000 to $150,000 depending on the relevant years of experience.
We offer a competitive package of employee benefits for 30 to 40-hour week positions. PRINCIPAL DUTIES AND RESPONSIBILITIES
- Strategic Facilities Management: *
- Lead the maintenance and operations of all Agency buildings, ensuring safety, efficiency, and cost-effectiveness.
- Develop long-term strategies for facilities management, including inspections, preventative maintenance, and space planning.
- Ensure all facilities are functional, safe, and meet operational and programmatic needs.
- Monitor and oversee project timelines, budgets, and quality standards.
- Facilities Operations and Maintenance: *
- Manage daily operations, including maintenance, repairs, and necessary upgrades.
- Oversee scheduled and unscheduled maintenance to ensure facilities, equipment, and furniture are in working order.
- Review, prioritize and respond to maintenance requests via the online ticketing portal daily.
- Assign work orders to staff and manage high-priority repairs and projects.
- Assist staff with complex and challenging projects and provide extra hands-on, skilled support, when needed.
- Communicate effectively with site managers about project schedules and maintenance requests.
- Plan and coordinate construction and repair projects with internal stakeholders and external contractors.
- Ensure quality standards for building operations, grounds, safety, and client spaces.
- Gather input on departmental needs during relocations or space changes.
- Estimate time and material costs for maintenance and repairs performed by staff or contractors.
- Construction, Space Allocation, and Relocations: *
- Oversee building expansions, space planning, and facility relocations.
- Develop space optimization plans and coordinate reconfiguration to meet operational and programmatic needs.
- Lead planning and execution of relocation projects to minimize disruption.
- Collaborate with contractors and internal departments on construction and modification projects.
- Leadership and Team Management: *
- Lead the facilities team, fostering a culture of continuous improvement and high performance.
- Hire, develop, train, and mentor Facilities staff.
- Manage and evaluate staff performance, ensuring alignment with Agency goals and high service standards.
- Promote staff engagement and ensure adherence to safety and quality standards.
- Budgeting and Cost Control: *
- Develop and manage facilities budgets, ensuring cost-effective operations.
- Monitor and track expenditures related to maintenance, repairs, and facility projects.
- Identify cost-saving opportunities and improve efficiency in facilities operations.
- Quality Standards, Quality Improvements, and Safety: *
- Develop strategies to meet quality and safety standards within budget and timelines.
- Work with staff to implement preventive maintenance programs and address operational challenges.
- Focus on prevention and identify issues early to avoid disruption to operations and client care.
- Follow up on escalated complaints and resolve issues promptly.
- Implement strategies to reduce costs and improve services.
- Regulatory Compliance and Risk Management: *
- Ensure compliance with regulatory requirements, including building codes, safety regulations, and environmental standards.
- Collaborate with the CFO and IT Director to establish risk management protocols related to facilities and IT systems.
- Develop policies and procedures to ensure compliance with internal standards and external regulations.
- Vendor and Contract Management: *
- Oversee vendor relationships and service contracts for maintenance, repairs, and construction services.
- Negotiate contracts and manage service agreements, ensuring compliance with terms and quality standards.
- Communication and Stakeholder Engagement: *
- Maintain open communication with stakeholders regarding facilities issues and projects.
- Provide regular updates to managers and senior leadership on project status and operational matters.
- Address concerns raised by internal and external stakeholders, ensuring high customer service standards.
- OTHER DUTIES AND RESPONSIBILITIES
- Manage office operations, safeguard confidential information, and implement internal controls.
- Attend and participate in agency meetings and trainings as requested or assigned.
KNOWLEDGE, SKILL, AND ABILITIES REQUIRED (E = Essential; D = Desired)
- Education and Experience:
- Associate’s degree and at least three years of related experience in facilities management, and leadership. (E)
- One year of supervisory experience. (E)
- Bilingual in English and Spanish. (D)
- Certificate in Facilities Management (CFM) or equivalent college-level education. (D)
- Experience in healthcare, behavioral health, human services, or nonprofit settings. (D)
- Training in institutional or commercial trades, OSHA, EPA standards, building/fire codes, HAZMAT, and Material Declaration Data Sheets (MDDS). (D)
- Knowledge of:
- Best practices in building engineering principles, safety, maintenance, and construction. (E)
