Job Summary
The Cardiovascular Services Scheduling Coordinator schedules all procedural procedures/tests and assures that appropriate coordination with providers, staff, and patients occurs to ensure patient scheduling. The Cardiovascular Services Scheduling Coordinator receives requests to schedule procedures via EMR queue and schedules the procedure according to established guidelines based on provider times and availability. The Cardiovascular Services Scheduling Coordinator also coordinates outpatient scheduling based on provider times and availability. The Cardiovascular Services Scheduling Coordinator provides accurate information so that all departments may view daily and maintains open communication with hospital departments and physician offices regarding schedule changes.
Responsibilities
Scheduling Schedules all cardiovascular procedures/tests utilizing the EMR. Communicates daily with office personnel and staff to ensure accurate and timely scheduling of procedures. Professionalism/Confidentiality Will comply with hospital policy and ensure all insurance, patient information including legal name, authorizations and estimates are accurate and input in the system appropriately. Must be knowledgeable in HIPAA/Confidentiality. Scheduling Coordination The Cardiovascular Services Scheduling Coordinator will be responsible for reaching out to vendors with regards to upcoming procedures requiring specialty instruments, supplies, or implants. They will work with the clinic, lead Cath lab and EP technologist, and Inventory Coordinator to ensure that vendors have been coordinated and supplies are available. Phone Etiquette The Cardiovascular Services Scheduling Coordinator will be responsible for answering the phones in a courteous and professional manner as well as communicating via email, teams, and message center. The scheduler will be responsible for organizing and presenting the schedule with the staff. Adaptability The Cardiovascular Services Scheduling Coordinator must possess the ability to react quickly in urgent situations, be adaptive to change, as well as able to communicate well with other staff, patients, and office personnel. They must be highly skilled in verbal communication, problem solving, prioritization and organization. The Cardiovascular Services Scheduling Coordinator needs to be able to input data into a computer, quickly, and accurately.
Knowledge, Skills & Abilities
Light Work: The ability to sit for long periods of time, and capable of using basic office equipment. 2 to 3 years’ experience in a medical specialty in either an administrative or clinical role. 2 years’ experience with medical terminology knowledge required. Knowledge of Microsoft Excel required. Knowledge of CPT/ICD-10 codes preferred.
