Customer Service / Administrative Assistant | Temp to Perm position | FT (M-F, 8-5) | $18 / hr | On-Site | Norwood, PA
The Administrative Assistant is the first impression that customers and other visitors have when they walk in. This person is responsible for creating a front office atmosphere
that fosters a level of exceptional service and organization while supporting the Office Manager and Estimators to increase sales and profitability.
A day in the life of an Administrative Assistant
- Answer and direct all phone traffic in a polite, courteous and cheerful manner
- Organize tow trucks when necessary for customers
- Make status update calls on Open Repair Orders (RO) every other day
- Call new opportunities to schedule estimates
- Do follow-up calls on Closed RO's : every Friday morning for the week prior deliveries
- Enter ALL notes into database for the customer's file or in the phone call log
- Prepare the paper Job Folder with the required forms and create the electronic Job Folder on the server
- Download all in process repair photos and ensure all photos and documents are labeled on the server
- Receive and process all vehicle scans into the appropriate Job and Vendor as necessary
- Create Repair Order (RO) Folder using all required forms
- Update customers with status of repairs, delivery schedule, supplements, etc.
- Take Before and After photographs of vehicle
- Greet customers and verify all contact information
- Prepare Final Bill and Warranty BEFORE customer arrives and present to the customer
- Inform customers of our post repair survey and charitable donations from google reviews
- Copy / Scan invoices into Job Folders & Vendor Folders as required
- Email Estimates & Supplements, Final Bills / Statements for payments when required
- Complete all required Annual training schedule
- Maintain the coffee station for customers and ensure the office is presentable and professional at all times
