We are seeking a highly organized and detail-oriented Construction Project Administrator to join our team. The ideal candidate will assist in the seamless execution of construction projects from inception to completion. This role involves overseeing administrative tasks, coordinating project activities, and ensuring effective communication among stakeholders. This position is responsible for managing the administrative and operational aspects of construction projects from our initial bidding phase through project completion.
Key Responsibilities:
A. Project Administration
- Manage the preparation and submission of bid proposals, ensuring all documentation is complete and accurate.
- Manage project documentation including contracts, subcontracts, change orders, submittals, and procurement processes.
- Coordinate the timely submission of pay applications and track budget expenditures.
- Maintain and organize project files both digitally and physically.
- Ensure all necessary permits and regulatory requirements are obtained.
- Assist in all A/P and A/R activities,
- Prepare and review pay applications, ensuring accuracy and timely submission.
- Assist project team with financial reporting and budget management.
- Process and track invoices, purchase orders and payments.
B. Project Management
- Develop and manage detailed project schedules to ensure timely completion of project milestones.
- Track and document all change orders, ensuring all necessary approvals are obtained.
- Maintain a clear record of project changes and their impact on the overall budget and schedule.
- Track and document changes in project scope and deliverables.
- Issue subcontract agreements and purchase orders.
- Maintain a project log and track project activities, deadlines and milestones.
- Responsible for ordering all job related materials.
- Review and approve contractor and subcontractor invoices in accordance with project scope.
Qualifications:
Bachelor's degree in Construction Management, Engineering, or related field (preferred).
- Proven 5 year experience as a Construction Project Manager or Project Administrator in the construction industry.
- Strong knowledge of construction processes, materials, and methods.
- Excellent communication, organizational, and problem-solving skills.
- Ability to work well under pressure and manage multiple projects simultaneously.
- Proficiency in project management software and Microsoft Office suite. Working knowledge of Buildertrend and Quickbooks Online.
- Valid driver's license and reliable transportation.
