We are seeking a friendly, organized, and professional Front Desk Coordinator/ Receptionist to be the welcoming face of our facility. What You’ll Do:
Front Desk & Patient Support:
- Greet and assist patients, study participants, and visitors with a warm and professional demeanor.
- Answer and direct phone calls, schedule appointments, and follow up with participants.
- Maintain patient and visitor logs, ensuring an organized and efficient check-in process.
- Keep the reception and waiting areas clean, organized, and welcoming.
Administrative & Research Support:
- Manage patient paperwork, obtain necessary signatures, and maintain accurate records.
- Assist with data entry, filing, faxing, and other clerical tasks.
- Coordinate communication between patients, participants, and clinical research staff.
- Support participant recruitment efforts and follow-up calls.
Site Operations & Compliance:
- Ensure office supplies and clinic materials are stocked and organized.
- Assist research staff with study materials, patient education resources, and documentation.
- Maintain confidentiality and adhere to HIPAA regulations and clinical research protocols.
What We’re Looking For:
✔ Education: High school diploma required; Associate’s or Bachelor's degree in healthcare administration, business, or related field preferred.
✔ Experience: Prior receptionist or administrative support experience (preferably in a healthcare or clinical research setting).
✔ Skills:
- Strong customer service and interpersonal skills.
- Excellent phone etiquette and scheduling abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask in a fast-paced environment while maintaining attention to detail.
- Bilingual (English & Spanish Speaking)
✔Preferred Skills (not required):
- Knowledge of clinical research procedures or willingness to learn.
- Experience with Clinical Trial Management Systems (CTMS).
- Bilingual language skills (English/Spanish or other languages).
