Responsibilities Include, But Are Not Limited To:
- Proactive management of leader’s calendar and inbox, including scheduling and prioritizing complex internal and external meetings across multiple time zones.
- Improve team efficiency by solving problems, streamlining workflows, and anticipating needs, while understanding the business context to identify opportunities and deliver results in high-pressure, dynamic environments.
- Plan, manage, and execute logistics for offsite events, including large-scale gatherings for investors.
- Coordinate and oversee complex regional and international travel arrangements, including passport renewals and processing visas, to ensure seamless itineraries and quick problem resolution.
- Process complex expense reports in a timely fashion and adhering to company policies.
- Assist in the preparation and distribution of meeting materials, facilitating successful delivery of agenda items and action items, and support with follow-up that ensures successful execution of deliverables.
- Build strong cross-functional relationships and serve as a key point of contact with several departments across the organization.
- Demonstrate exceptional attention to detail in all aspects of work, ensuring the accuracy and quality of deliverables.
- Uphold the highest level of discretion and judgment in handling sensitive and confidential information.
- General administrative support to senior Business Development team members, as needed.
- Triaging internal and external calls and messages, responding to queries, and organizing conference calls.
- Back up support and collaboration with other administrative professionals within the organization.
- Management and upkeep of contact information and investor profiles in the internal CRM system.
- Ability to handle special projects and ad hoc requests as needed, e.g. assistance with preparing a presentation, org charts, spreadsheets, etc.
- 6 years of experience as an executive assistant, with demonstrated expertise in managing complex schedules and travel arrangements.
- BA/BS Degree preferred.
- Unparalleled organizational skills and unwavering attention to detail.
- Tech-savvy with proficiency in the Microsoft suite of apps, high degree of comfort in learning and working with online tools and applications, and a strong sense of how cloud-based document and database systems are used in a modern business environment.
- Clear, concise communication skills and excellent interpersonal skills.
- Exceptional judgment, particularly in handling confidential information and in supporting investor matters.
- Ability to work proactively, independently and reliably on multiple projects under tight time frames in a fast-paced environment.
- An approach to work that is highly inclusive and collaborative, fluid and flexible, and responds positively to change, feedback and new ideas.
- Ability to pivot quickly and be resourceful, think practically and be solution oriented.
