Job Description:
We are seeking a personable and detail-oriented Restoration Intake and Data Administrator to join our dynamic team. This role is pivotal in managing the intake process of new restoration projects and maintaining accurate data records to support our operational efficiency and customer service excellence. As the Restoration Intake and Data Administrator, you will play a crucial role in the initial stages of restoration projects, ensuring seamless communication and organization.
Responsibilities:
- Handle incoming calls and emails from clients, insurance adjusters, and other stakeholders regarding restoration inquiries, emergencies, and service requests.
- Conduct thorough intake interviews, with care and empathy, to gather essential information about the restoration project, including the nature and extent of damage, property details, insurance coverage, and client preferences.
- Enter and maintain accurate data in the company's database and CRM system, documenting all relevant information related to each restoration project, including contact details, project specifications, timelines, and progress updates.
- Coordinate with field technicians, managers, and other internal teams to schedule assessments, inspections, and service appointments according to client needs and project urgency.
- Communicate effectively with clients to provide timely updates on project status, estimated timelines, and any changes or additional services required.
- Assist in preparing and/or processing documentation related to restoration projects, including work orders, estimates, contracts, and invoices.
- Collaborate with the finance department to ensure accurate billing and timely payment processing for restoration services rendered.
- Support the continuous improvement of intake processes and data management systems, identifying opportunities for efficiency gains and implementing best practices.
- Maintain confidentiality and discretion when handling sensitive client information and insurance-related documents.
- Provide administrative support to the operations team as needed, including filing, organizing documents, and performing other clerical tasks.
Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- 5 years or more of experience in administrative roles, preferably in the restoration, construction, or service industry.
- Excellent organizational skills with a keen attention to detail and accuracy in data entry and record-keeping.
- Strong communication skills, both verbal and written, with the ability to interact professionally with clients, team members, and external partners.
- Proficiency in Google Suite and experience working with database and CRM systems.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Customer-focused mindset with a commitment to delivering exceptional service experiences.
- Knowledge of construction industry practices, terminology, and insurance claims processes is a plus.
- Ability to adapt to changing priorities and handle stressful situations with composure and professionalism.
