Catholic Parish Coordinator
Onsite | Kirtland AFB | Albuquerque, NM
Part Time (20 hrs. per week)

The Catholic Parish Coordinator will perform as the administrative and logistical support for the Kirtland Air Force Base Catholic Parish. The Catholic Religious Education (RE) program is designed to provide doctrinal knowledge consistent with the Roman Catholic faith tradition and in support of sacramental ministries requirements. The Catholic Parish Coordinator will coordinate and supervise all parish activities/events and assists the Catholic Chaplain or Priest in the administration and coordinating of tasks associated with the Catholic Community.

Place of Performance

The Catholic Parish Coordinator shall perform duties the parish located at Kirtland Air Force Base, Albuquerque, NM.

Hours of Performance

The Catholic Parish Coordinator shall maintain a schedule of 20 hours per week. Work schedule to be approved by the Wing Chaplain, the Deputy Wing Chaplain, or his/her designated representative in consultation with the COR. The work schedule will have flexibility week-to-week to meet the fluctuating programming needs of the parish during liturgical seasons. Must be available Sundays (and evenings, as needed for church services/activities).

General Responsibilities

The Catholic Parish Coordinator will:

  • Comply with all Federal, State, and Local Laws and requirements and Air Force Instructions (AFI) that apply to this position; Comply with all Air Force Information security requirements, which include the requirement of reading and signing facility usage, security, key control, and safety letters. Comply with all Air Force computer and information security agreements.
  • Ensure all volunteers working with or without minors receive a background check and maintain the results of these background checks and confer with the Background Check Monitor regarding each result.
  • Coordinate and execute day to day work for the Catholic community within a pluralistic environment respecting all faiths.
  • Assist the Senior Faith Group Chaplain in planning, prioritizing, and decision making processes affecting the parish and provide input for chapel goal setting, planning and evaluation sessions.
  • Attend chapel staff meetings, Catholic Pastoral Advisory Council meetings and other meetings as directed by the Senior Faith Group Chaplain, providing administrative support to Catholic Pastoral Advisory Council.
  • Maintain proficiency through attendance at workshops, conferences, and other training opportunities, made available by the fund.
  • Be able to work with the Protestant Community Coordinator on any ecumenical projects deemed appropriate by the Wing Chaplain and coordinated through the Faith Group Chaplain.

Catholic Religious Education (CRE) Coordinator Responsibilities:
Program and Volunteers:

  • Be present on Sundays 30 minutes prior to RE classes and 30 minutes after classes to conduct teacher/parent conferences; be prepared to act as substitute teacher as needed.
  • Coordinate and oversee RE classes and Children’s Church, ensuring all volunteers are properly assigned, trained, and equipped.
  • Assist the Protestant Community Religious Education Coordinator to conduct an ecumenical Vacation Bible School between June – August timeframe annually.
  • Recruit, interview, recommend, train, motivate, and place volunteer teachers and aides in the RE program.
  • Provide initial volunteer teacher orientation at beginning of the RE year; provide adequate on-going catechetical training to equip effective volunteers and to fulfill teacher/aide requirements of the Archdiocese for the Military Services.
  • Plan and conduct a teacher appreciation event annually which may be done in conjunction with the community appreciation event.

Facility:

  • Account for the security and cleanliness of facilities utilized in conjunction with RE programs.
  • Plan RE programming and order required books and materials; maintain records of curriculum requested for purchase. Provide anticipated budget requirements for overall program plan formulation to the Catholic priest.
  • Coordinate and request RE equipment and supply purchases with the Catholic priest; submit for approval according to local procedures, in a timely manner.
  • Complete the AF Form 4356, CTOF Purchase Request Form, as trained by Chapel Tithes and Offering Fund Account Manager, as needed for purchases.
  • Coordinate all support requirements with the Non-Commissioned Officer In Charge (NCOIC), Chapel Operations, or a designated representative.

Other Coordinator Functions:

  • Coordinate, plan, and implement a comprehensive, holistic Catholic RE multigenerational program.
  • Maintain the RE library of books, CDs, etc., for parish members to utilize for their spiritual growth.
  • Maintain classrooms, cabinets, AV equipment, and storage areas containing Catholic RE supplies, equipment and literature.
  • Organize RE enrollment and provide registration dates, times, and places to Catholic priest one month before RE classes begin.
  • Maintain RE enrollment, attendance records, student emergency data and submit data required by the Archdiocese for the Military Services to be submitted to the Faith Group Chaplain at monthly.
  • Submit requests for facility use, equipment and other support according to chapel procedures.
  • Track fund expenditures and ensure program does not exceed approved budget.
  • Serve as funds Project Officer as designated by the Catholic priest and Coordinate long and short-term planning budgets through the priest.
  • Submit RE publicity to the Catholic Parish Coordinator for publication according to chapel procedures.
  • Prepare certificates, awards, and presentations for students and volunteers.
  • Provide a verbal and written report concerning pertinent RE issues at the monthly Catholic Pastoral Advisory Council meeting and give a report.

Catholic Community Coordinator (CCC) Responsibilities:
Recruiting Responsibilities:

  • Recruit volunteers by planning and holding volunteer training sessions
  • Place volunteers for the community ministries; post monthly volunteer schedules.
  • Minimum of one (1) training session, held at the beginning of each program year.

Facility:

  • Submit facility requests according to chapel procedures for the Catholic Chaplain or priest approval. The CCC is responsible for all Catholic community programs in the chapel. This includes ensuring the facility is opened, setup, properly utilized, cleaned and secured after Mass and other community events.
  • Ensure the facility, sanctuary, or Blessed Sacrament chapel are properly prepared before Mass and other worship services and returned to a neutral setup following all community events.
  • Care/maintain Catholic worship equipment (to include, altar, altar cloth, and banners). Coordinate any maintenance issues with the Noncommissioned Officer In Charge (NCOIC), Chapel Operations.
  • Monitor all equipment and supplies necessary for Catholic community programs and events.
  • Coordinate all seasonal and special community events pertaining to the liturgy.

Other Coordinator Functions:

  • Oversee all publications, announcements, and curriculum pertaining to the Catholic community.
  • Develop weekly bulletins, special program flyers, community announcements for the Catholic Chaplain or priest approval. Maintain an electronic continuity file of weekly bulletins.
  • Coordinate publicity requirements with the Superintendent Chapel Operations, the Catholic Chaplain or priest, and Wing Chaplain for base newspaper, electronic, web-based, and off-base advertisements.
  • Update the Catholic bulletin board, validating that only approved items are posted.
  • Record data as required and report data to Senior Faith Group Chaplain.
  • Prepare and administer surveys to solicit feedback for quality review of Catholic program at least annually.
  • Manage the Catholic community tithe envelopes distribution.
  • Ensure that Catholic Community census information is established in an electronic format using a suitable database program provided by chapel resources and is updated weekly by adding or deleting community member’s information as needed.

Qualifications

The Catholic Parish Coordinator shall possess a minimum education of a High School Diploma or GED equivalent and a minimum of three (3) years of experience in:

  • Teaching in public schools, private schools, or Religious Education programs.
  • Experience managing people and resources.
  • Ability to work cooperatively and collaboratively with assigned chaplains, chaplain assistants, and coordinators within a pluralistic environment.
  • Proficient use/skills on Windows-based computer systems, Microsoft Products.
  • Ability to conduct classes through online platforms (i.e., Zoom) as needed.
  • Email, file management, and programs for promotional design.
  • Possess current Archdiocese of Military Services (AMS) approved Basic Catechist certification or obtain certification within six months of assuming duty (costs covered).

Preference: Catholic Parish Coordinator willbe able to clearly express details of basic Catholic community life.

Security

The Catholic Parish Coordinator shall submit and pass applications for background checks to the Background Check Monitor according to Department of Defense Instruction (DoDI 1402.5), Criminal History Background Checks. The following checks are required; Installation Records Check (IRC), State Criminal History Repository (SCHR) and Childcare National Agency Check with Inquiries (CNACI).

Personnel on Contract

The Catholic Parish Coordinator is a member of the Montech Inc. contract. Montech will ensure all personnel possess the necessary education, training, qualifications and experience to accomplish the requirements identified in this Performance Work Statement (PWS).

Sound judgment, foresight, and problem solving skills, possess excellent oral and written communications, and customer service skills, able to adapt to fast-paced work/office environment with accuracy under pressure, demonstrated competency managing schedules, documentation, and automated systems, demonstrate leadership, excellent research and data gathering skills and ability to interpret/analyze complex information, ability to work independently within the bounds and guidelines of the contract requirements and client, knowledge of and experience using the Microsoft Office Suite, and the ability to work and communicate with diverse group of customers and clients within and outside the Federal Government.

The Catholic Parish Coordinator must present a professional demeanor at all times while on site and shall treat all persons with courtesy and respect; striving to earn positive feedback of customers.
