Job Summary/Objective:
The Administrative Assistant will provide support to the Lifestyle & Wellness Department. This person should be experienced, highly organized, and proactive and thrive in a fast-paced, high-intensity environment, and is comfortable with context switching frequently. The AA will manage calendars, travel, and assist with meetings and events. The AA will serve as a trusted liaison between the Lifestyle & Wellness Department and both internal and external stakeholders.
Essential Functions/Duties/Responsibilities:
- Manage a complex calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare correspondence, reports, and presentations.
- Handle confidential information with the utmost discretion.
- Coordinate and manage special projects.
- Provide administrative support to the SIPSE Manager and Lifestyle & Wellness team.
- Assist in development and organization of support materials for meetings (e.g. slide decks, presentations, meeting materials, etc.)
- Prepare and submit expense reports and manage purchase requisitions according to company policies and procedures.
- Assist with UKG payroll management.
Required Skills/Abilities/Competencies:
- Calendar management, meeting organization, and travel coordination experience.
- Proficiency with MS Office (e.g. Word, Excel, PowerPoint, Teams, Outlook), Adobe Acrobat, DocuSign.
- High level of maturity, and ability to exercise good judgement, discretion, and confidentiality in all tasks.
- Able to remain organized and focused in a fast-paced, high-performance environment.
- Expertise in written and verbal communication, demonstrating strategic, professional, and succinct communication.
- Be a forward thinker and anticipate needs.
- Able to work independently and be a problem solver/solution-oriented.
Physical Requirements:
- The physical activity of this position constantly requires effective talking, hearing, sitting, walking, and standing functions.
