    A vacancy exists for an Administrative Assistant to the Executive Director/Board Secretary to work within the Office of Executive Director at the Montgomery County Intermediate Unit. The Administrative Assistant to the Executive Director assists in the efficient operation of the Executive Director’s Office; maintains thorough knowledge of organization to provide secretarial, administrative, and operational support for Executive Director; and exercises judgment in handling inquiries and requests with diplomacy and tact in accordance with established policies, precedents, and practices. The scope of the position could relate to any or all IU activities; the primary emphasis is on IU-wide and Board activities. The position must deal with confidential information on a regular basis.


    Qualifications:
    • Minimum of BS Degree in appropriate field (BS degree requirement may be waived with significant experience in specialized area of position)
    • Minimum of 3-5 years of progressive experience in appropriate field, leadership experience strongly preferred
    • Expertise (includes one or more of the following):
      • Responsibility for budget of programs or initiatives
      • Interfaces frequently with Customers and Stakeholders
      • Very Specialized skills in area of concentration proven by work experience, certificates, etc.
      • Autonomous nature of work performed
    • Proficient in use of Microsoft Office applications
    • Ability to operate office equipment and use computer technology efficiently
    • Must be a proficient typist, know how to format business correspondence/reports, and must appropriately handle confidential information
    • Ability to work independently and make work-related decisions and exercise good judgement in prioritizing tasks
    • Original certificates of clearance from the State Police, Child Abuse Registry, and PDE FBI

    Duties & Responsibilities:
    • Assist other staff by working cooperatively to achieve the goals of the MCIU.
    • Greet visitors and oversee appropriate welcome and accommodations.
    • Screen and monitor telephone calls for the Executive Director ensuring that messages are forwarded in a timely fashion.
    • Maintain appointment calendar for Executive Director and arrange appointment/meetings as appropriate.
    • Open, date, and sort mail for the Executive Director and handle routine requests for information. Route mail to appropriate staff members.
    • Corresponds directly with superintendents and board members on behalf of the Executive Director.
    • Typing responsibilities include: letters, memoranda, reports, agendas for various meetings, budget information, various lists/forms, financial charts, administrative evaluations.
    • Board Meeting preparation: responsible for preparation and compilation of materials for all Board Meetings and uploads to BoardDocs.
    • Assists with writing Legislative Report for Board of Directors.
    • Creates and distributes monthly Board Meeting summaries.
    • Maintain the following files/records: Board Meeting information, complaints/grievances, confidential files/reports, general correspondence and any other files/records for the efficient operation of the MCIU.
    • Draft response letters to a variety of correspondence.
    • Design and produce computer documents for presentation and reporting purposes.
    • Attend Executive Director's meetings as requested, record minutes and type data pertaining to those meetings.
    • Coordinate agenda and planning for Superintendent Council Meetings.
    • Coordinate logistics for Superintendent Retreats and Professional Development Events.
    • Assists with Executive Leadership Searches conducted by the Executive Director.
    • Coordinate all logistics for All Staff Opening Day programs.
    • Maintain a thorough knowledge of the organization and act as an extension of the Executive Director to relieve her/him of operational details whenever possible.
    • Compile and maintain the security of confidential data such as employee evaluations, negotiations guidelines, job accountabilities, budget deliberations, salaries, contracts, grievances or problems, sensitive information to the Board, job searches, strategic plan, departmental and organization information; exercise judgment and understanding in recognizing potentially sensitive or confidential subjects.
    • Maintain the MCIU calendar for staff and community usage, schedule usage, and coordinate this with Executive Director and administrators for inclusion on computerized Calendar.
    • Disseminates information orally, by correspondence, or by distributing written materials pertinent to organization procedures and operations; provides requested information to written inquiries, visitors, staff, district staff and officials, district board members, PDE, community leaders, parents and the public.
    • Files and retrieves materials, correspondence, records, reports and other items and purges such files as needed.
    • Provides support to other offices as needed, in answering phones, proofing documents, sharing drafts of documents for revisions, coordinating mailings, etc.
    • Maintain MCIU policies and serve as the point of contact for questions regarding MCIU policy.
    • Assist with Special Projects as directed by the Executive Director.
    • Ensures the highest degree of confidentiality appropriate to the position.
    • Other duties as assigned by the Executive Director.

    Location:
    The Montgomery County Intermediate Unit is located in Norristown, PA.

    Work Schedule:
    Monday-Friday, 7 hours/day, 12 months (260-262 days/year).

    Salary:
    $66,300/year - $78,000/year (SA1)
