Summary

Montgomery County Conservation District is hiring a full-time administrative professional. This position provides a full range of administrative duties to facilitate the implementation of the Ch. 102 NPDES permitting program, through which the Conservation District is delegated duties under the PA Department of Environmental Protection. The position also includes other administrative and executive assistant duties to support all District staff and programs.

This is an in-person position in Collegeville, PA.

Schedule: M-F 8:15 AM - 4:15 PM

Essential Duties And Responsibilities

  • Perform receptionist duties at the office front desk.
  • Process incoming and outgoing mail.
  • Process incoming permit applications and provide coordination between permit applicants and Conservation District staff.
  • Assist with completeness reviews of permit applications.
  • Perform database entry.
  • Process all incoming checks and prepare bi-monthly bank deposits.
  • Enter and approve bi-monthly employee timecards for payroll.
  • Prepare and submit weekly permit action reports to the PA Bulletin.
  • Prepare and submit weekly Disturbed Acre fee checks and spreadsheet to DEP.
  • Conduct data entry in federal ICIS database for permit tracking and reporting.
  • Participate in relevant trainings and meetings.
  • Process received permit documents, forms, annual reports and submittals.
  • Listserv management.
  • Website management.
  • Assist with state quarterly reporting duties.
  • Assist with publication of bi-annual newsletter and other educational publications and communications.
  • Serve as acting secretary for the Montgomery County Conservation District.
  • Provide notetaking and written meeting minutes for monthly District Board of Directors meetings;
  • Compile and distribute monthly Board meeting agenda packets.
  • Perform executive assistant duties to support District Manager.
  • Attend weekly staff meetings and other meetings as requested.
  • Other duties as assigned .

  • Knowledge of English language, verbal and written.
  • Excellent verbal and written communication skills.

  • Ability to use Microsoft Office programs.
  • Ability to follow and maintain established electronic filing and record-keeping systems.
  • Ability to independently organize and prioritize work requirements to meet deadlines in a fast-paced environment.
  • Ability to establish and maintain professional working relationship with office associates, general public, visitors, and clients.
  • Minimum of associate's degree in business administration or related field of study, or 5 years of relevant office experience.
